Outdoor spaces and grounds: Customer portal for playground builders
A customer portal for playground builders where councils, schools and parks find drawings, handover documents, inspection reports and maintenance instructions for each play area.
What customers of playground builders want to see.
People who manage play areas need to know what stands on their site, when it was installed and how to maintain it. Playground builders get these questions because the handover documents vanished into the inbox of someone who has since left. A council with many sites wants to find the layout drawing, product data, inspection report and maintenance instructions per site. A school wants to know which part to order when a swing seat breaks. Each time the office searches folders for the right project, and sometimes a document turns out never to have been sent.

Access per manager and site
Each client sees their own play areas. A council can split access by district or by manager, a holiday park by site. The company and client decide together who sees which documents, so an outside inspector only reads what they need for the job in hand.
Show documents per piece
Each play area lists the layout drawing, the equipment and, per piece, the product information, inspection report and maintenance instructions. During a project the design versions and schedule are visible too. After handover the portal shifts to management: what is there, when was it inspected, what needs maintaining.
Link reports and orders
The manager can report damage or a question against a specific piece, with a photo. They can also request a spare part, with the equipment type already known. The office sees at once which piece is involved and can reply with a quote or a follow-up visit.
Less email, the same records.
Drawings, product information and inspection reports are currently spread across a drawing program, folders of manufacturer data and the inspection body's emails. The portal brings those documents together per site and piece, without recreating them. Inspection reports remain the inspecting party's. Councils and schools keep their own asset system or inspection log; the portal supplies the data they copy into it.
Portal or handover file
A handover file is clear, but gets lost or goes out of date after a part is replaced. A portal stays current and can be found by new managers. Many companies do both: a file as a snapshot at handover and the portal for everything that changes afterwards. Every manager then has a fixed starting point.
Supply data or keep the log
People who manage play areas keep their own log of inspections and maintenance. The portal can supply data for that log, or under a maintenance contract the company can keep part of it. Who owns the log must be clear upfront, so no gaps appear between the two parties.
All documents or a selection per role
A buyer wants quotes and invoices, a site manager drawings and maintenance instructions, an inspector the inspection reports. Showing everything to everyone clutters the portal. Roles per user mean each person sees their own part, while the documents stay in one place. New users get the right role when invited.

In the client portal we set up access per client and play area, with documents per piece and damage reports with photos. We test it together with an ordinary handover of a school playground and with a council reporting damage to a five year old piece whose documents still have to be tracked down. Roles per user, spare part requests and an export for the inspection log are switched on when clients ask for them.

Explore pricing and optionsCan we add older projects to the portal?
Yes. Older play areas can be filled in as documents turn up, for example during an inspection or maintenance visit. Start with sites still under contract. The portal grows over time without everything having to be sorted out at once.
Can an outside inspector get access?
An inspector can be given temporary access to the documents for the sites they inspect, without seeing quotes or amounts. They can upload their report directly to the play area, so it reaches the client and the company at the same time.
How does a school know which part to order?
Each piece in the portal shows its type and manufacturer, with a list of replaceable parts where available. The school picks the piece and describes or photographs the broken part. The office finds the right article number.
What happens when a council changes site manager?
The play areas belong to the council, not to the person. The council grants a new manager access and withdraws it from the previous one. The history per site is kept, so the new manager sees what has happened.
