Outdoor spaces and grounds: Invoicing software for playground builders

Invoicing software for playground builders that bundles installed equipment, laid surfacing, groundwork and resolved snags into an invoice a council or school can check.

Where invoices stall for playground builders.

A project for playground builders consists of equipment, surfacing per square metre, groundwork, spoil removal and often removal of old equipment. Councils and schools want an invoice that matches their order exactly, with their purchase order number and a breakdown they can check internally. During the work, the surfacing grew because a piece was moved, there was rubble in the ground and one piece was installed later. Some clients only pay the final part once the snags are resolved. The office has to gather all of this from emails, job cards and drawings.

Example
  1. 1

    Installed work per order

    Done

After installation and handover, the software holds the installed equipment, the surfacing area actually laid, groundwork, spoil removal and approved extra work.

  2. 2

    Test deviations and conditions

    In progress

The office sees where execution differs from the order, such as more surfacing or a piece not yet installed.

  3. 3

    Send the invoice with breakdown

    Next

The invoice goes out with the client's purchase order number, lines per piece and per surfacing type, a breakdown with drawing and snag list attached, and a payment link.

From finished work to paid invoice.

Installed work per order

After installation and handover, the software holds the installed equipment, the surfacing area actually laid, groundwork, spoil removal and approved extra work. Alongside sit the order with its purchase order number, earlier stage invoices and the snag list with the status of each item.

Test deviations and conditions

The office sees where execution differs from the order, such as more surfacing or a piece not yet installed. For each deviation they choose whether to invoice, offset or query it. If the final part follows only once snags are resolved, that part stays separate.

Send the invoice with breakdown

The invoice goes out with the client's purchase order number, lines per piece and per surfacing type, a breakdown with drawing and snag list attached, and a payment link. Reminders follow automatically and payment status sits with the order. A council can then approve internally without further questions.

Invoicing from the same software.

Playground builders often create invoices in an accounting package and sometimes submit them through a council's e-invoicing portal. In this software the invoice comes from the same order as the quote and the job card, with the right references on it. Prices come from the same product list and calculation as the quote, and extra work follows the job card rather than an estimate after the fact. Your bookkeeper can look along or receive an export.

Stage payments or one final invoice

For large orders with expensive equipment, invoicing in stages is common, for example at order, after installation and at handover. Small installations are invoiced in one go. Each order records which arrangement applies and which stage is due, even when handover is delayed by snags.

Surfacing per quote or actual area

A fixed price for surfacing is simple but drifts when a piece is moved or a zone grows. Invoicing the actual area is fair but needs the crew to record measurements after laying. Which arrangement applies is set in the order and decides which lines appear on the invoice.

Retention until snags or invoice in full

Some clients retain part of the payment until all snags are resolved. Others pay in full and expect snags to be cleared within an agreed period. The arrangement sits visibly with the order, and the software holds the final stage until the last item is closed, so an invoice is not rejected for arriving too early.

What we set up for your invoicing.

We set up your product list, surfacing types and stage arrangements, with an invoice template where the purchase order number is required, the payment link and the reminders. Beforehand we create the invoice together for a school playground settled in one go, and the stages of a council play area where part waits on two snags. Summary invoices for maintenance contracts can be switched on as soon as those contracts are in the software.

Can the invoice include the council's purchase order number?

Yes. The purchase order number is recorded with the order and appears on the invoice automatically. Councils often reject invoices without it, so the order form asks for it upfront. If it is missing, the invoice cannot be sent until it is filled in.

How do snags affect invoicing?

Snags sit with their status next to the invoice data. If the agreement is that part of the payment waits until everything is resolved, that part stays separate and the office is notified once the last snag is closed. Then the final invoice goes out.

Can we justify extra work for rubble in the ground?

Yes. Extra work the crew records on the job card with photos and quantities appears as a deviation with that evidence. A breakdown can go with the invoice, so the client sees why the line is there and how it was calculated.

What if a council wants invoices through its own portal?

Then you create the invoice in this software as usual and submit the same document through the council's portal. Purchase order number, breakdown and payment status stay here with the order, so you do not have to search when a question comes in.
