Transport and delivery: Quotation software for piano movers
Quotation software for piano movers that turns lifting work, floor levels, staircase shape and equipment into a proposal showing the customer why the move costs what it does.
Where quotes for piano movers get stuck.
For piano movers the price hardly depends on distance and mostly on what happens at each address. An upright on the ground floor is a different story from a grand going up three floors by a turning staircase. Yet many quotes show only a total. The customer does not understand why it costs more than the neighbour paid, and if the staircase turns out narrower on the day than in the photo, nothing records what the price was based on. Then an argument about extra work starts at the very moment the crew is standing on the stairs with the instrument.

Example- 1
Record assumptions per address
DoneThe quote opens with what was assumed at each address: floor, staircase shape, number of steps, lift or not, and whether hoisting is needed.
- 2
Price lifting work and equipment
In progressThe calculation counts the floors at each address, the crew size required and the equipment, such as a stair climber or an external lift with operator.
- 3
Proposal with extra-work clause
NextThe proposal states the price, the assumptions and what happens if the situation on the day differs, for example an extra floor or a doorway that is too narrow.
From enquiry to signed quote.
Record assumptions per address
The quote opens with what was assumed at each address: floor, staircase shape, number of steps, lift or not, and whether hoisting is needed. The instrument is listed too, with type and estimated weight. These assumptions appear in the proposal, so both sides know exactly what was agreed.
Price lifting work and equipment
The calculation counts the floors at each address, the crew size required and the equipment, such as a stair climber or an external lift with operator. Surcharges for a grand that needs dismantling or for a spiral staircase come from your own rates. Everyone in the business prices the same way.
Proposal with extra-work clause
The proposal states the price, the assumptions and what happens if the situation on the day differs, for example an extra floor or a doorway that is too narrow. The customer approves the whole package. If extra work turns out to be needed, it is clear in advance how it will be charged.
Alongside your calculations and price lists.
Most piano movers keep a price list in a spreadsheet, write quotes in a word processor and invoice from an accounting package. The quotation software takes over that price list and uses the answers and photos from the enquiry form as its starting point, so nothing is retyped. An approved proposal flows on to scheduling and later to invoicing. Rates and extra-work rules belong to the piano mover; the customer only sees their own proposal and the assumptions behind it.
Fixed price or hourly rate
A fixed price gives the customer certainty and works well for clear situations with good photos. When access is uncertain, such as a staircase nobody has photographed, an hourly rate with a clear cap is fairer. Many piano movers use a fixed price as standard and an hourly rate for the exceptions.
Extra work priced in or charged after
You can build extra work into the price by quoting generously, or charge it afterwards if it occurs. Quoting generously loses jobs; charging afterwards loses trust if it was not explained properly. An extra-work clause described in the proposal gives the customer clarity without forcing you to aim high.
Include tuning and storage or not
After a move a piano often needs tuning again, and sometimes it spends time in storage. That can be an option in the quote or a separate service. As an option it makes the quote more complete; kept separate, the moving price stays comparable with other providers.

From the start the quotation software holds your price list, the assumptions per address and the calculation of lifting and equipment, with a quote that includes an extra-work clause and that the customer approves online. Together we work through an upright piano to a first floor with a straight staircase, and a grand that has to come in via an external lift. Options for storage and tuning, and a list of quotes not yet approved, are switched on when it suits you.

Explore pricing and optionsCan we quote on the basis of photos alone?
In most cases, yes, provided the photos show the stairs, the turns and the narrowest doorway. The quote states that the price is based on those photos. If in doubt, you can include a site visit in the proposal or an hourly rate for the uncertain part.
How do we explain extra work without it feeling like a surprise?
By describing in the proposal what counts as extra work and how it is charged, such as an extra floor or the need to hoist. On the day, the crew leader shows what is different, and the customer can see it matches what was agreed in advance.
Can a piano shop get a standing price agreement?
Yes. For a shop that delivers regularly, you can set fixed prices per instrument and situation. The quotation software applies them automatically when the shop sends an enquiry. Unusual situations, such as a grand going to an upper floor flat, are still assessed separately.
What if the customer changes the address after approval?
You create a new version of the proposal with the new assumptions. The old version is kept. That way you know exactly which price belongs to which address and can explain the difference to the customer before they approve again.
