Transport and delivery: Operations dashboard for piano movers
An operations dashboard for piano movers that shows how often access problems lead to additional work, in which situations, and whether the enquiry could have predicted it.
Which figures piano movers really need.
Piano movers know from experience that some jobs go differently from the plan. A staircase turns out narrower, a door has to come off or hoisting is needed after all. But how often does that happen, and in which situations? Do the problems lie with grands, with old town houses, or with enquiries that came without photos? Without an overview it remains a hunch. Quotes do not get sharper, crew size stays a guess and extra work keeps leading to a conversation with the customer that could have been avoided.

From scattered figures to one overview.
Define what counts as additional work
First we agree what counts: an extra carrier, an external lift after all, more time than planned at an address, a door that had to come off. We also decide when it is caused by access and when by something else, such as a customer who was not ready. Those definitions sit with the dashboard.
Link enquiry, quote and job card
The dashboard connects the enquiry with its photos and answers, the quote with its assumptions and the job card with what actually happened. You can see whether additional work occurred with enquiries that had complete stair photos, or mainly with those where photos were missing.
Investigate situations with deviations
By instrument, staircase shape, floor and enquiry source you see how often additional work was needed. Drill down and you see the jobs themselves, with photos and the crew leader's notes. You might find, for example, that turning staircases in upper floor flats more often need an extra carrier, which you can then reflect in the quote.
Figures from your own work.
The data for the dashboard comes from the enquiry form, quotes, the schedule and job cards. As long as those are still on paper or in separate files, the first task is getting them into one place. The dashboard replaces none of those sources. The office remains the owner of quotes and scheduling, the crew leader of what is on the job card. Photos of homes are used internally only, to compare situations.
Adjust quotes or improve enquiries
If additional work keeps occurring in a particular situation, you can quote more generously or ask better questions upfront. Quoting generously may lose jobs. Better photos and questions beforehand make the quote more accurate without making it more expensive. The dashboard shows which of the two pays off more.
By crew or by situation
A view per crew can show who overruns more often, but says little if that crew also gets the hardest jobs. Looking by situation, such as staircase shape and floor, gives a fairer picture. Crew-level data is useful for a conversation, but does not belong on the shared screen.
Measure everything or only deviations
You can analyse every job or only those where something deviated. Deviations only is simpler, but then you cannot see how often a situation went fine. To know whether turning staircases are really a problem, you also need to count the jobs where everything went to plan.

What counts as additional work is agreed at the start. The dashboard brings enquiry, quote and job card together and shows deviations per instrument, staircase type, floor and enquiry source, with drill-down to the job. We first look at a quiet month with mostly upright pianos and then at a busy month with many grand piano moves to upstairs flats. A signal on quotes with a higher risk and an overview of equipment use can be switched on later.

Explore pricing and optionsDo we have enough jobs to see anything?
That depends on your volume. Even with a modest number of jobs you often spot patterns, such as grands in upper floor flats. The dashboard shows how many jobs each result is based on, so you do not read too much into a handful of cases.
What if the job card gives no reason?
The deviation still counts, but without a cause. The dashboard shows how many deviations lack a reason. That is often a prompt to add a short pick list of reasons to the job card, so the crew leader does not have to type.
Can we use the dashboard in a conversation with a piano shop?
Yes. If a shop often sends deliveries to difficult addresses, you can show how often that requires additional work. That supports a conversation about rates or about better information with the referral, such as stair photos from the buyer.
Does the crew see the dashboard as well?
That is up to you. It can be useful to show the crew which situations often overrun, so they learn to recognise them. You can leave out data per person or per crew, so it is about situations rather than people.
