Transport and delivery: Customer portal for piano movers
A customer portal for piano movers where customers view and add to their address photos, transport agreements and the condition of their instrument at departure and arrival.
What customers of piano movers want to see.
Between enquiry and moving day, a lot goes back and forth at a piano mover. The customer sends stair photos by message, approves the quote by email and asks by phone whether the grand can go into storage. The time slot is confirmed verbally. A week later the customer no longer remembers what was agreed about parking for the external lift and calls again. When a piano shop delivers to a buyer, there is often no clear view of when the instrument was delivered and in what condition.

From invitation to approval.
Access per job and role
The customer gets access to their own job. For a delivery on behalf of a piano shop, the shop can see the agreements and delivery, and the buyer sees what to prepare. Crew notes and the price breakdown stay hidden unless you deliberately share them.
Agreements and photos in one place
The portal shows the approved quote, the time slot, what the customer needs to arrange, such as parking for the lift and a clear route, and the address photos they supplied. After the job, the condition photos from departure and arrival appear, along with the signed job card.
Link additions and questions
The customer can add photos of the new address, ask a question or report a change. These land on the job, not in a separate inbox. Whoever handles scheduling sees what is new and can respond in the same overview, so the job's history stays complete.
Less email, the same records.
Customers currently send photos by message and email, and agreements are scattered across the office inbox. The portal does not take over all of that communication: anyone who prefers to phone can keep doing so, and the office then records the agreements in the portal. Quotes, scheduling and job cards supply the content. The customer remains the owner of the photos of their home; the piano mover keeps them only for the job and any damage claim.
Login or a personal link
For a private customer moving a piano once, a personal link without a password is simplest. A piano shop or music school that books more often benefits from an account showing all its jobs. Both can exist side by side, with the same information per job, so the office only has one place to keep up to date.
Condition photos straight away or on request
Showing photos right after the job demonstrates careful work and heads off questions later. Showing them on request keeps the portal quieter. Most piano movers choose to show them straight away, because with a valuable instrument that openness is exactly what builds trust with the owner.
Shop or buyer as the contact
With a delivery on behalf of a piano shop, the question is who asks the questions and who makes the arrangements. If the shop remains the contact, the line to the buyer stays indirect. If the buyer gets their own access, it has to be clear who may change what.

For each job the customer gets a personal link with the quote, time slot, preparations and address photos, where they add photos and questions themselves and afterwards see the condition photos and the signed job card. Two situations are walked through beforehand: a private move of an upright piano, and a delivery on behalf of a piano shop where the buyer is not at home. Accounts for shops and schools can be switched on later.

Explore pricing and optionsDoes the customer need to create an account?
No. A private customer receives a personal link per job. Only clients who book often, such as a piano shop, get an account with an overview of all their jobs. A private customer does not have to remember a password for something they may only need once.
Can the customer change the time slot through the portal?
They can request a change. The planner checks whether crew and equipment are available at the new time and then confirms. Scheduling stays in your hands, while the customer does not have to repeat the request.
Does a piano shop see the condition photos too?
If you agree that, yes. For a shop it is useful to see that the instrument was delivered in good condition. You can leave out photos of the buyer's interior and show only the instrument.
How long does a job stay visible in the portal?
That is up to you. A common approach is to keep the job visible for as long as a damage claim can still be made and archive it after that. Put the period in your terms, so the customer knows until when they can access the photos themselves.
