Outdoor spaces and grounds: Scheduling software for paving contractors

Scheduling software for paving contractors that lines up crews, plant and paver deliveries, so the gang is never standing around waiting for a lorry.

Scheduling software for paving contractors. A schedule that compares resources and availability, then confirms an appointment. Example with demonstration data.

What makes scheduling hard for paving contractors.

Scheduling at paving contractors depends on three things that are rarely fixed at the same time: which crew is free, when the supplier delivers the pavers and whether the ground has been dug out. If the pallets arrive a day late, two pavers stand with a plate compactor on an empty sand bed. If they arrive early, they end up on the neighbours' drive. Then there are wet days on which digging is possible but jointing is not, and a mini digger that turns out to be booked on two jobs at once. A board with names and addresses does not show those dependencies.

From job to confirmed appointment.

Split each job into phases

Each job is broken into break-out, earthworks, sub-base, laying and finishing, with the people and plant needed for every phase. It becomes clear that earthworks need a mini digger and a driver while laying needs two pavers and a labourer, and that those phases do not have to fall on the same day.

Set deliveries beside the crew

Delivery dates for pavers, sand and edging sit in the same schedule as the crew. If someone plans laying for Tuesday while the pallets come on Thursday, it shows immediately. The planner also sees which jobs need a crane lorry because the pallets cannot be taken through to the back garden.

Absorb weather and delays

When a day is lost to rain or frost, the planner moves the phase and sees which deliveries and hired plant have to move with it. The customer gets a message with the new day once it is confirmed. Phases that can go ahead in the wet, such as breaking out, stay visible as an alternative for the crew.

Alongside your calendar and your team.

Schedules at paving contractors often live on a whiteboard or a shared calendar, with delivery dates buried in supplier emails. We keep what already works and decide who enters delivery dates: the estimator when ordering, or the supplier through a confirmation that is read in. Hired plant gets its own line with collection and return dates. The foreman owns the daily plan on site; the planner owns the sequence between jobs.

Fixed crews or people per phase

If you work with fixed crews that take a job from start to finish, you schedule by crew and job. If groundworkers and pavers move between jobs, you schedule by phase and person. The second is more flexible but needs more coordination, because a delay in the earthworks immediately affects other crews.

Supplier delivery or own collection

Supplier delivery saves a lorry, but the time slot is often wide and not always reliable. Collecting yourself gives control but costs a driver and a trip. The schedule can record which route was chosen for each job, so it is clear who is responsible when the pavers are not on site in time.

Building in slack or planning tight

A tight schedule looks good until the first wet week. Slack between jobs gives breathing room but sometimes leaves crews idle. A middle way is keeping a few small fallback jobs in hand each week, such as repairs or maintenance, which are only slotted in when a larger job moves.

What we set up in the schedule.

Jobs with phases, crews, owned and hired plant and material delivery dates are in the schedule at the start. Together we replay an ordinary week of three running jobs, and a week with two days of rain and one delivery arriving a day late. The planner keeps making the calls; the overview shows what clashes. Customer messages when dates move and supplier orders visible in the schedule can be switched on later.

Can we see each day where every machine is?

Yes. Every machine, owned or hired, appears in the schedule against the job where it is that day. You see that the mini digger can move on to the next job after the earthworks, or that the plate compactor is needed in two places and a second one has to be hired.

What happens to the schedule when it rains?

The planner marks the day as lost to weather and chooses per job which phase moves. The system shows which deliveries and hire periods shift as a result and which customers need a message. Phases that can still be done in the wet are suggested as an alternative.

Can the foreman see the schedule on his phone?

The foreman sees his jobs for the coming days with address, phase, crew and planned deliveries. He can report that a phase is finished or running over. The sequence between jobs stays with the planner, so two people are not moving the same week around at once.

Can we take delivery dates from suppliers automatically?

If the supplier sends a standard order confirmation, it can be read in and linked to the right job. Where that is not possible, the estimator enters the date when ordering. Either way the delivery sits next to the crew schedule and a clash is obvious straight away.
