Outdoor spaces and grounds: Quotation software for paving contractors
Quotation software for paving contractors that brings paving area, earthworks, removal and laying pattern into one calculation, with the assumptions visible to the customer.
Where quotes for paving contractors get stuck.
A quote from paving contractors rests on assumptions the customer never sees. How much soil has to come out, how deep the old base goes, how much cutting waste the chosen bond produces and how many cubic metres go into the skip. When the quote only shows a rate per square metre, an argument starts as soon as the digger finds something different. Each estimator also handles cutting waste and earthworks differently, so two quotes for similar work can be far apart. The calculation has to show what it rests on and which items may change if the ground turns out worse.

Record assumptions per area
DoneThe estimator records for each area what is there, what has to come out, how thick the new sub-base will be and what fall is needed.
- 2
Work out materials and earthworks
In progressArea, bond and paver size give the number of pavers including cutting waste, the metres of edging and the volumes of sand and spoil.

Let the customer accept options
NextThe customer receives a proposal with fixed items and options shown separately: a different bond, an added channel drain or reusing the old pavers.
From enquiry to signed quote.
Record assumptions per area
The estimator records for each area what is there, what has to come out, how thick the new sub-base will be and what fall is needed. A patio, a driveway and a path each get their own line. Assumptions about the ground are written down explicitly, so they can be checked later.
Work out materials and earthworks
Area, bond and paver size give the number of pavers including cutting waste, the metres of edging and the volumes of sand and spoil. The estimator can deviate on any item but sees what the standard was. Calculations stay comparable between colleagues and between projects.
Let the customer accept options
The customer receives a proposal with fixed items and options shown separately: a different bond, an added channel drain or reusing the old pavers. On acceptance it is recorded which option was chosen and which assumptions belong to it. That acceptance travels on to scheduling, ordering and the job card.
Alongside your calculations and price lists.
Estimators at paving contractors often work with a spreadsheet per job, supplier price lists and an accounting package for the final invoice. We decide which price lists lead, who updates them and how often. Standards for cutting waste, sub-base depth and removal are set once by the owner, so each quote does not start from nothing. The accepted proposal remains the basis for the invoice, so extra work can always be traced back to a specific deviation.
Rate per square metre or itemised
A single rate per square metre is easy for the customer but hides groundwork and removal. An itemised breakdown is fairer but looks more complicated. You can do both: one total per area with the build-up beneath it, so the customer compares quickly and you can show where the difference with a cheaper firm lies.
Provisional sums for unknown ground
When nobody knows what lies under an old driveway, you can price generously or include a provisional sum for extra earthworks. Pricing generously loses jobs; a provisional sum needs explaining. With a provisional sum and a clear agreement on how it is settled, the customer knows where they stand if the ground disappoints.
Reusing old pavers or supplying new
Reuse saves material and removal, but cleaning and sorting takes time, and there are always broken ones among them. A quote that sets both options side by side, with the expected loss described in words, lets the customer choose knowingly and avoids an argument when extra pavers have to be ordered after all.

We start with one type of work that calculates in full, such as driveways and patios, covering area, bond, sub-base, edging and removal. The owner sets the standards beforehand, so every estimator starts from the same assumptions. Together we price an ordinary patio and a driveway where an old concrete slab has to be broken out. Options, provisional sums and an acceptance that flows on to material ordering and scheduling are switched on after that.

Explore pricing and optionsCan the quote allow for cutting waste per laying pattern?
Yes. You set a standard cutting allowance for each bond, and the estimator can adjust it per job when the area has many curves or drain covers. The quote shows which value was used, so afterwards you can compare it with what was actually cut.
How do we include removal of old paving and soil?
Removal becomes its own item based on area and depth, split between rubble, sand and soil if your tip separates them. You see straight away how many skips or loads are needed, and later you can set that against the actual tip tickets.
Can a customer accept an option online?
Yes. The customer sees the options side by side and picks one, together with the assumptions that belong to it. The acceptance is stored with its date and selected options. If the customer later wants something else, that becomes a new version rather than an edit to the old one.
What if the ground differs from what the quote assumed?
Then it is clear which assumption was wrong, for example a thicker layer of rubble than expected. The foreman records it with a photo and the estimator turns it into a variation using the same calculation rules. The customer sees the difference from the original proposal and approves it separately.
What often connects to this.
- Enquiry form for paving contractorsAn enquiry form for paving contractors that asks for site dimensions, the existing surface and level differences, so the first visit has a purpose instead of starting from scratch.
- Digital job cards for paving contractorsDigital job cards for paving contractors with the laying plan, falls, levels and materials for each area, so the crew on site knows exactly which way the water has to run.
- Invoicing software for paving contractorsInvoicing software for paving contractors that gathers laid area, removal and approved extra work into an invoice you check against the quote and send with a payment link.
