Outdoor spaces and grounds: Operations dashboard for paving contractors

An operations dashboard for paving contractors that sets cutting loss, extra groundwork and overruns per job against the estimate, with the source of every deviation alongside.

Operations dashboard for paving contractors. An operations dashboard that shows deviations and their source. Example with demonstration data.

Which figures paving contractors really need.

At the end of the season many paving contractors know whether it was a good year, but not which jobs lost money and why. Was cutting loss on herringbone higher than estimated, did old driveways consistently produce more spoil, or did one crew overrun more often? That information is spread across job cards, tip tickets, timesheets and supplier invoices. As long as it does not come together, the quoting standard stays the same and the same loss is booked again next year. A dashboard has to show where the work departs from the estimate and which record sits behind it.

First we agree what counts as cutting loss, what counts as breakage and what counts as extra groundwork, and from what difference a job is flagged.

    In progress

The dashboard takes the estimate per job from the quote, laid quantities and extra work from the job card, hours from time recording and removal from tip tickets.

From scattered figures to one overview.

Agree the definitions together

First we agree what counts as cutting loss, what counts as breakage and what counts as extra groundwork, and from what difference a job is flagged. We also settle which hours count: only on site, or loading and travel too. Without those agreements the dashboard compares apples with pears.

Link job cards, hours and tickets

The dashboard takes the estimate per job from the quote, laid quantities and extra work from the job card, hours from time recording and removal from tip tickets. For every job you see where the difference lies and which record it comes from.

Review deviations by type of work

Jobs can be grouped by bond, type of surface, crew or supplier. It becomes visible that driveways with an old concrete slab keep producing more spoil, or that a certain bond produces more cutting loss than the standard. That finding goes back into the quoting rules.

Figures from your own work.

The data for the dashboard at paving contractors sits in quotes, job cards, time recording, tip tickets and the accounting package. We connect to what is there rather than asking for everything to be entered again. Where data is missing, such as breakage that is not reported, we show the gap instead of an estimate. The owner decides which deviations matter; the estimator owns the estimate, the foreman owns the record on site.

Per job or per season

Looking per job helps spot trouble while the work is still running, for instance an overrun in the earthworks. Looking per season reveals patterns you cannot see in a single job. The dashboard can do both; at the start we begin with what you miss most right now.

Comparing crews or not

Comparing overruns per crew is tempting, but crews do not get the same jobs. A crew that takes all the awkward driveways will overrun more often. A comparison only makes sense once jobs are grouped by type of work, and even then as the start of a conversation rather than a verdict.

Measure everything or a few items

Cutting loss, earthworks and hours are where paving estimates most often go wrong. Measuring everything means more recording on site, which crews experience as a burden. Starting with the items that make the biggest difference, and only widening once those are recorded well, works better.

Which figures we put on the dashboard.

From the start the dashboard shows per job the difference between estimate and actual for cutting loss, removal and hours, with the source of each deviation. Missing records stay visible as gaps in the figures. Together we look at a job that went to plan and a driveway where an unexpected amount of soil and rubble was removed. Groupings by bond and surface type, and adjusting the quoting standards, can be added later.

Can we see which laying pattern produces the most cutting loss?

Yes, if material used and laid area are recorded per job. The dashboard works out the difference and groups it by bond. A handful of jobs says little, but over a season you see whether a bond consistently loses more than you allow for.

Does this create extra work for the crews?

As little as possible. What the crew already records on the job card, such as laid area, breakage and removal, is used. Anything new must be quick to enter on site. If a record is missing, the dashboard shows that rather than estimating.

What if the data sits in different systems?

That is normal. The dashboard reads from quotes, job cards, time recording and accounts, and shows for each figure where it came from. If a number looks wrong, you can click through to the source and look for the cause there.

Can the dashboard predict whether a job will overrun?

It shows how similar jobs went before, such as driveways with an old concrete slab. That helps with judgement, but it is not a prediction. The estimator uses it as background when building the estimate and planning spare capacity.
