Every pallet or leftover batch in the yard is logged with type, size, colour and production batch where known. Loose kerbs, edging and setts are counted too. A photo of leftovers helps later when deciding whether they still match a running job.

When a quote is accepted, the estimator reserves what can come from the yard and orders the rest. Reserved material shows as taken for everyone else. A crew will not accidentally load the pavers that need to be at another customer's house next week.
Update returns and usage
After the job the foreman reports what is left and whether it goes back to the yard, stays with the customer as spares or returns to the supplier. Breakage and rejects are noted separately. Stock is correct again, and you see which jobs lost more than estimated.

Logging every half pallet of concrete pavers takes time that does not always pay back. Natural stone, porcelain and special kerbs cost more and are harder to reorder. A sensible choice is to track those fully and only count cheap standard pavers during a regular stock round, which keeps the work manageable for the yard manager.
Keeping leftovers or clearing them
Leftovers come in handy for repairs and small jobs, but they take up space and lose value when nobody knows what is there. With a record per batch you can decide each season what stays, what goes to customers as spares and what is cleared.
Leaving spares with the customer or not
Leaving a few pavers with the customer for future repairs is appreciated, especially with stone that is hard to reorder. It does cost material that would otherwise be back in the yard. Recording what was left with whom helps when that customer calls years later about a repair.

Batches and leftovers in the yard, reservations per job and updating usage and returns afterwards: that is where stock starts. The yard manager does one full count at the start. Together we go through an ordinary job and a reorder where the new batch is a different shade from what is already laid. Supplier confirmations with each batch and an overview of breakage per paver type can be switched on once the count is right.

Yes. If the batch is printed on the pallet or delivery note, it is recorded at logging. When reordering, you see which batch is already on the job and can ask the supplier for the same. If that is not possible, you know in advance to lay the new pavers in a separate area.
How do crews record what they take from the yard?
Ideally through the job card of the job they are taking it for. They pick the batch and quantity, and stock updates. If material is taken without a job, the screen asks for a reason so it does not simply disappear.
Can we see how many pavers typically break?
Yes, if breakage and rejects are reported per job. Over a season you see, per paver type and supplier, how much loss there was against the estimate. That helps when choosing suppliers and when setting the standard allowance for cutting and breakage in quotes.
What if material stays at the customer until a later phase?
Then it is logged as reserved at the customer's location. It no longer counts as yard stock but is visible against the job. The crew doing the next phase knows what is already there, and nothing gets ordered twice.
