Customer portal for paving contractors
A customer portal for paving contractors where clients see their chosen materials, laying plan and work schedule, and say when the driveway needs to be clear.
What does this solution need to handle for paving contractors?
Customers of paving contractors mostly call about three things: which paver did we choose again, when are you coming and can the car still go on the drive. That information is scattered across a quote in an email, a photo of a sample paver and a text from the foreman. With a residents' association or a commercial yard, several people need to see it and residents need to know when their drive is closed. Every delay from rain or a late delivery sets off a round of calls, while the foreman on site has no time to answer them.
From daily operations to working software.
Give clients and observers access
For each job you decide who gets access: the homeowner, a partner, the managing agent of a residents' association or a company's facilities manager. Each sees the documents that fit their role. A resident in a block sees the schedule; the managing agent also sees the quote and the acceptance.
Keep choices and dates current
The portal shows the chosen paver with a photo, the bond, the joint colour and the laying plan. Below that is the schedule per phase, including when the pallets arrive. If a phase moves because of rain, the new date appears immediately with a short reason.
Keep questions with the job
A customer unsure about a joint colour, or wanting an extra channel drain, asks in the portal against the right item. The office answers, and approval of a change is stored with the job. The foreman does not have to negotiate on site about what was agreed.
Connect with what you already use.
Customer contact at paving contractors usually runs through email, phone and messages to the foreman. Quotes sit in the quoting tool or as an email attachment. We decide which documents from quoting and scheduling appear in the portal automatically and which the office posts by hand. The customer owns their approvals and questions; the business owns the schedule and the laying plan. Messages from the foreman on site do not go straight to the customer but pass through the office first.
Portal for everyone or larger jobs
For a small garden path a portal may be more than needed. For a driveway with a choice of pavers, or a residents' association site where people need to be told about access, it saves a great deal of hassle. You can decide per type of job whether a portal is created or an email confirmation is enough.
Choosing samples online or at the yard
Paver colours look different on screen than in daylight. The portal can record the choice, but the customer may prefer to decide at the supplier or from a sample. In that case the portal serves as confirmation of what was chosen, with a photo of the sample alongside.
Exact day or week shown
An exact day gives clarity, but every weather delay prompts questions. A week with an expected day inside it gives room and fewer disappointments. Many firms show the week until the ground is out, and a fixed day for laying after that, so the customer knows what to rely on.

Start with a scope you can verify.
A first version includes access per job, the chosen materials with laying plan, the schedule per phase and questions per item. We test it with a private driveway and with a residents' association site where residents may only see the schedule and the days they cannot reach their garage. The office decides per job who sees which parts. After that come approval of extra work and handover photos in the portal.

Explore pricing and optionsCan residents of a block see when their drive is closed?
Yes, if you give residents limited access. They only see the schedule and the days their entrance or parking space is unreachable. The managing agent also sees the quote, approvals and extra work, so commercial documents stay with the client.
What does the customer see when rain moves the work?
The customer sees the new date per phase with a short reason, such as too wet to joint. A message goes out once the planner confirms the change. The customer does not need to ring, and does not hear it from the neighbours first.
Can the customer still change paver in the portal?
As long as the order has not gone out, the customer can request a change. The office sees the request, checks whether the bond or price changes and sends a new version for approval. If the order has already been placed, the portal says so and a conversation follows.
Does the portal stay available after handover?
Yes. The customer keeps access to the laying plan, material details and handover photos. That is useful when a few pavers need replacing later or the house is sold. You decide how long the portal stays open after handover.
