Manufacturing and processing: Quotation software for packaging manufacturers
Quotation software for packaging manufacturers that combines set-up costs, board consumption and quantity breaks in one calculation, so the customer sees what a different run size does to the price.
Where quotes for packaging manufacturers get stuck.
In packaging, fixed and variable costs together set the price. A new cutting die, making ready the press and setting up the folder-gluer cost the same for a short run as for a long one. Board usage depends on how the blank nests on the sheet and how much waste allowance is needed. Many packaging manufacturers calculate this in a spreadsheet only the estimator understands. The quote the customer receives shows a single unit price without explanation, after which they ask what a different quantity would cost and everything starts again. On top of that, nobody can later see which board price and which assumptions sat behind an accepted quote.

Record specification and assumptions
DoneThe estimator starts from the specification in the enquiry: construction, size, grade, print colours and finishing.

Separate fixed and variable costs
In progressThe calculation splits set-up costs for the die, printing plates and make-ready from the per-unit costs of board, ink and machine time.

Proposal with breaks and acceptance
NextThe customer receives a proposal with the price per run size, one-off costs listed separately and how long the board price holds.
From enquiry to signed quote.
Record specification and assumptions
The estimator starts from the specification in the enquiry: construction, size, grade, print colours and finishing. Anything still uncertain, such as a varnish or a window, is recorded as an assumption with a note. Those assumptions carry through to the quote, so the customer sees what the price rests on and what a change would mean.
Separate fixed and variable costs
The calculation splits set-up costs for the die, printing plates and make-ready from the per-unit costs of board, ink and machine time. The number of blanks per sheet and the expected waste allowance determine board usage. Because both parts sit apart, the system produces quantity breaks for several run sizes without extra work.
Proposal with breaks and acceptance
The customer receives a proposal with the price per run size, one-off costs listed separately and how long the board price holds. They can accept one quantity online, after which the quote and all its assumptions are locked. A later change to size or print becomes a new version, so the original agreement is preserved.
Alongside your calculations and price lists.
Most packaging manufacturers have an estimating sheet refined over years, price lists from board suppliers and an order system where the job is eventually created. We carry over the rules in that sheet instead of reinventing them, and let the estimator check them against past quotes. Board prices stay with purchasing, the calculation rules with estimating. Once accepted, the order and its specification move on to the system job preparation already works in.
Single price or quantity breaks
A single price is tidy but forces the customer to ask again for every other quantity. Quantity breaks show how set-up costs spread across the run and let the customer weigh stock against unit price. Too many breaks make the proposal hard to read, so you choose a few sensible quantities per customer group.
Show set-up costs or fold them in
Listing set-up costs separately makes clear why a repeat order can be cheaper: the die already exists. Folded into the unit price they look calmer, but cause friction when the customer later orders a smaller run. The software can present either way, as long as the calculation underneath stays the same and the choice made in the quote is visible.
Fix the board price or let it float
Board prices move, and a quote that stays open for long can end up loss-making. Some manufacturers keep validity short, others add a clause allowing review if material costs change. The software records which board price each quote used, so a late order immediately shows whether a recalculation is needed.

At the start, the quote holds the constructions you price most often, with setup costs, board usage and price breaks for a few run lengths. We set the outcomes next to recent quotes from your own costing sheet and next to an exception, such as a box with a window and extra varnish. If the sums match, it goes live. Online acceptance by the customer and turning an accepted quote into an order are included, and you switch them on when it suits you.

Explore pricing and optionsCan we keep our existing calculation rules?
Yes, and that is the starting point. The rules in your current sheet hold years of experience with waste allowance, machine speeds and finishing. We translate them into the software and check the outcomes together with the estimator. Where a rule is unclear, we make it explicit rather than quietly changing it.
What happens if the customer changes the size after accepting?
A new version of the quote is created. The system shows what changes in the blank layout, board usage and possibly the cutting die. The customer accepts the revised price. The original version is kept, so it is clear later why the invoice differs from the earlier proposal.
Can sales produce a quick estimate themselves?
For standard constructions a salesperson can use a limited screen to produce an estimate based on the same rules. That estimate is clearly marked and only becomes a quote once the estimator has reviewed it. Unusual shapes, special materials and complex finishes always stay with estimating.
How do we see which quotes are still open?
An overview lists each quote with its status, the date the board price expires and who spoke to the customer. Quotes about to expire or without a response for a while appear at the top. Sales can follow up in a targeted way, and estimating sees which prices may need another look.
