Business supplies and services: Inventory software for office fit-out companies
Inventory software for office fit-out companies that tracks furniture components, assembly supplies and temporarily stored client furniture per project, so crews leave with complete loads.
Where stock drifts for office fit-out companies.
The warehouse of office fit-out companies is full of half projects. Desktops have arrived but the frames have not, a pallet of chairs belongs to a project being installed next month and a stack of cabinets is a client's old furniture in temporary storage. In between sits the company's own stock of cable trays, fixings and spare parts. Whoever loads a crew is not sure whether every component for a zone is complete. On site, fixing kits turn out to be missing or the wrong colour of feet has come along. Meanwhile stored client furniture sits for months without anyone charging for the storage.

Receive per project and zone
On arrival the warehouse scans each box and links it to the project, zone and furniture code from the order. It is immediately visible which components of a zone are in and which are still on the way. Own stock, client furniture in storage and project goods each get their own location type.
Reserve complete loads
For an installation day the warehouse puts together a loading list per zone. The software shows whether every furniture code is complete and reserves assembly supplies such as cable trays and fixing kits from own stock. A zone with a missing component is flagged, so the planner can decide whether installation goes ahead.
Update issues and leftovers
When loading, the crew scans what goes out. Anything that comes back, such as a surplus panel or an unused kit, is booked on return as leftover stock or as a return to the manufacturer. Client furniture leaving storage is booked out with a date, so the storage period is correct.
Alongside your purchasing and suppliers.
Manufacturer orders and their confirmations remain the source for what is coming; the inventory software tracks what is actually in your own warehouse. Furniture codes and zones come from the approved quote and the fit-out plan. A scanner or phone in the warehouse records goods in and goods out. Storage periods for client furniture are passed to invoicing, which remains the owner of rates and invoices.
Cross-dock or store until installation
Sending goods straight on to site saves storage and handling, but leaves little time to check completeness. Storing until installation day gives certainty, but costs space and extra transport. Many fit-out companies decide per project: large jobs with tight access go through the warehouse, small deliveries go direct to site.
Own stock of supplies or per project
Ordering cable trays, fixings and small parts per project keeps stock low, but one forgotten kit costs an extra trip. Holding a basic stock with a minimum level prevents that, but needs periodic counting and a fixed place in the warehouse. The software shows which supplies are often short and which sit unused.
Store client furniture or remove it
Temporarily storing existing furniture is a service during phased moves, but needs space and a clear agreement on duration and cost. Removing it straight away or having it bought up is simpler, but leaves no room if the client has second thoughts. Agree upfront what happens when the storage period ends.
Which stock we record.
We set up goods received per project and zone, with a notice when a zone is complete, reservation of installation materials and client furniture in storage as separate stock. Together we replay an ordinary installation week, and a delivery where some of the frames are missing. Returns to manufacturers, minimum stock for installation materials and storage periods on the invoice, so stored client furniture does not sit there for free, are switched on when you want them.

Explore pricing and optionsHow do we know whether a zone is complete for installation?
Each zone has a list of furniture codes from the fit-out plan. On arrival, boxes are linked to those codes. The software shows per zone which codes are complete and which are still missing. The planner can see in advance whether an installation day can go ahead.
What do we do with parts left over after a project?
On return they are booked as leftover stock with project and reason, or as a return to the manufacturer if that was agreed. Leftovers are visible to the advisers, so they can be used on a later project or reorder rather than disappearing into the back of the warehouse.
Can we find stored client furniture easily?
Yes. Every stored item gets a label with client, description and warehouse location. During a phased move you see per client what is stored and which pieces are meant for which floor. When an item goes out, it is booked out and the storage period stops.
Do manufacturers need to label their boxes differently?
No. We use the labels and order numbers manufacturers already supply. On arrival the warehouse links them to the project. If a manufacturer does not supply usable labels, the warehouse prints its own label on receipt.
