Business supplies and services: Invoicing software for office fit-out companies
Invoicing software for office fit-out companies that invoices installed workspaces, extra work and additions per project in stages, with a payment link, reminders and a view of snags.
Where invoices stall for office fit-out companies.
Office fit-out companies often invoice in stages: a deposit on order, a portion on delivery and the balance on handover. In practice a project rarely follows the quote. The client asks for extra workstations, drops a meeting room or has a cabinet moved on site. Fitters work an extra evening because access was not arranged. Those changes sit in emails, job cards and the project manager's notes, but not together. Accounts sends a final invoice based on the quote, and the client objects because snags are still open. Or extra work gets forgotten and nobody dares to invoice it any more.

From finished work to paid invoice.
Gather completed work
Per project the software brings together which zones have been handed over, which furniture has been placed and which extra work was approved. Extra work only counts if the client approved it in the portal or on the job card. Extra installation hours with a reason, such as waiting time due to poor access, appear as a separate item.
Review stage and snags
For each stage you see whether its condition has been met. If snags are still open, the software shows which ones and what they are worth. The project manager can choose to hold back part until the snags are resolved, so the client does not pay for something that is still missing.
Send the stage invoice
Once approved, the invoice goes out with lines per zone, extra work and any reductions, references to the quote number and layout version, and a payment link. The client can check it against what they approved in the portal. Reminders go out automatically and the project manager sees per stage whether it has been paid.
Invoicing from the same software.
Quote, approved extra work, job cards and handover status from the portal already sit in the same software, so the invoice comes from what was recorded there. Project managers remain responsible for approving extra work; accounts for sending. For clients who work with purchase order numbers, that number goes along with each stage. At the start we set up stage schedules, VAT rates and payment terms. Your accountant can look along or receive an export.
Staged billing or invoice on handover
Invoicing in stages spreads the risk for the fit-out company, which pays large sums to manufacturers upfront. Invoicing everything on handover is simpler for the client, but leaves the company waiting a long time. The software supports both, with stages tied to concrete moments such as delivery per zone rather than a calendar date.
Bill extra work now or at final account
Invoicing extra work straight away keeps the overview sharp and avoids a big surprise at the end. It does mean more invoices. Collecting extra work until the final account is tidier, but raises the chance of disputes. A middle route is having extra work approved immediately, but billing it with the next stage.
Offset snags or let the client withhold
With open snags, the client may withhold part of the invoice. That is reasonable, but sometimes the entire balance is held back over a small scratch. By recording a value per snag, the fit-out company can hold back a fair amount itself and invoice the rest as normal, which keeps the conversation businesslike.
What we set up for your invoicing.
Per project, handed over zones, approved extra work and open snags sit together, and per stage you create an invoice with a payment link. That is how it is set up at the start. Together we walk through a project that follows the quote, and a project where extra work was done and snags are still open. Reductions, storage of client furniture and purchase order numbers per stage are switched on when larger clients with strict purchasing rules ask for them.

Explore pricing and optionsHow can we be sure extra work has been approved?
Extra work only appears on the invoice if an authorised contact approved it in the portal or on the job card. The software shows who approved it and when. Extra work without approval stays visible as an open item for the project manager, so it is not forgotten but not invoiced unasked either.
Can we process reductions too?
Yes. If the client drops a zone or part of the furniture, it is recorded as a reduction with reference to the new layout version. The invoice shows the original quote, reductions and extra work side by side, so the final amount is easy to follow.
What if the client disputes the final invoice because of snags?
You see which snags are still open and what value is attached, and can choose to hold that part back. In a dispute you have an overview per zone with handover photos, which keeps the conversation factual. Reminders for the disputed part are paused meanwhile.
How does our accountant see the invoices?
Your accountant looks along in the overview of invoices, payments and VAT, or receives an export per period. Which ledger accounts and VAT codes belong to furniture, installation and extra work, we agree together at the start.
