Food and specialist retail: Quotation software for nut retailers
Quotation software for nut retailers that adds ingredient cost, roasting loss, packaging and packing time into a proposal that holds up, even when the price of a nut changes.
Where quotes for nut retailers get stuck.
When a nut retailer quotes for a business order, the calculation often uses last month's purchase price. Meanwhile cashews or hazelnuts have gone up, and someone forgets that raw nuts lose weight in the roaster. Selling a kilo of roasted almonds means buying more than a kilo raw. On top of that come bags, ribbon, labels and the time it takes to weigh and seal hundreds of small packs. If all of that lives in a spreadsheet only the owner understands, every member of staff gets a different answer and custom work is sometimes sold below cost. The quote has to include roasting loss and current purchase prices by default.

From enquiry to signed quote.
Start from recipe and purchase price
Every mix consists of nut varieties with a share, and each variety has a current purchase price and a standard roasting loss. When staff choose a mix and a bag weight, the system calculates how much raw ingredient is needed. When a purchase price changes, the new figure applies to every quote created from that moment on.
Add packaging and packing time
Next come the packaging per unit, any custom label or ribbon and the packing time. Packing time depends on the pack: filling a tin is different from tying a cellophane bag. Staff can see where each cost comes from and can adjust a line, as long as they add a short reason for it.
Send and record the proposal
The customer receives a clear proposal showing mix, weight, quantity, packaging and delivery date, without the internal breakdown. They accept online or ask for a change. The accepted version is stored with the purchase prices of that moment, so you can always see later what the price was based on.
Alongside your calculations and price lists.
Purchase prices usually come from a regular wholesaler through price lists or invoices. We keep those prices per nut variety in one place, entered by hand or imported from a list. The accounting package remains the owner of invoices and customer accounts; the quotation software only hands over accepted lines. Recipes and roasting loss belong to the shop and are managed by one responsible person, and every price change is logged with a name and a date.
Price per bag or price per kilo
Consumers buy by weight, but business customers think in units. A price per bag is clear for the customer, while a price per kilo plus packaging is more transparent when weights vary. The software can calculate per kilo internally and present a price per unit to the outside world, so nobody keeps two price lists.
Fixed roasting loss or per batch
A fixed loss per nut variety is simple and usually good enough. If you notice certain batches losing far more, you can record the actual loss per roast and use that later. It does mean weighing before and after roasting, which not every shop does consistently, so start with fixed values.
Guaranteed price or an ingredient clause
A quote for a Christmas order is sometimes made well in advance. A fixed price gives the customer certainty but leaves the shop carrying the risk of a pricier harvest. A validity period or a clause covering large price changes is a business decision, and it needs to be visible in the proposal.
What we prepare in the quotes.
Recipes with roasting loss, current purchase prices and packaging with packing time go into the quoting software at the start, with a proposal the customer accepts online. Then we work through an ordinary quote for a standard mix together, and a custom mix whose most expensive nut rises in price halfway through the negotiation. Passing an accepted proposal on to the invoice and an overview of margins per mix can be switched on whenever you want.

Explore pricing and optionsHow do we know what roasting loss to enter for each nut?
Most roasters have a good feel for it. For a reliable figure, weigh a batch before and after roasting a few times. Enter the average and adjust it whenever you notice that a variety consistently behaves differently from what you expected.
Can staff give a discount without the margin disappearing?
Yes. While preparing the quote, staff can see what margin remains after the discount. You can set a floor below which the quote has to go past the owner first. That leaves room to negotiate without ever selling below cost.
What if the customer wants to change the mix after accepting?
Staff create a new version of the proposal. The previously accepted version is kept, so it is clear what changed. The customer accepts the new version before anything is packed, which means you never pack against a version they have not seen.
Can the quote account for a customer's own label?
Yes. A custom label is a separate line covering design work, printing and the time to apply the labels. If the customer supplies their own labels, the printing line drops out but the labelling time stays, so the proposal remains fair to both sides.
