Food and specialist retail: Invoicing software for nut retailers

Invoicing software for nut retailers that turns packed weights, mixing work and packaging from signed off orders into a checkable invoice with a payment link.

Where invoices stall for nut retailers.

At nut retailers, what needs invoicing often differs from what was in the quote. The customer ordered a hundred bags of two hundred grams, but a hundred and five were made because extras were requested, or one nut was swapped for a pricier one. Whoever prepares the invoices at the end of the month searches mixing cards, emails and delivery notes to find out what was really delivered. Mixing work and extra packaging, such as a ribbon or card added later, are easily forgotten. And once the invoice is finally out, nobody keeps track of who still has to pay.

    Bring the actual data together

    Done

After an order is signed off, the software prepares the packed quantity, the weight per bag, the packaging used and any extra mixing or labelling for the invoice.

  2. 2

    Review differences from the quote

    In progress

Staff see where the delivery differs from the proposal: more bags, a different nut or extra packaging.

  3. 3

    Send the invoice

    Next

The approved invoice goes to the customer with lines per mix, packaging and extra work, the purchase order number if it was recorded, and a payment link.

From finished work to paid invoice.

Bring the actual data together

After an order is signed off, the software prepares the packed quantity, the weight per bag, the packaging used and any extra mixing or labelling for the invoice. Delivery costs and the agreed price from the accepted proposal are added too. That gives one overview per order.

Review differences from the quote

Staff see where the delivery differs from the proposal: more bags, a different nut or extra packaging. For each difference they choose whether to charge it and, if so, at what rate. A short note explains the choice for anyone looking back later.

Send the invoice

The approved invoice goes to the customer with lines per mix, packaging and extra work, the purchase order number if it was recorded, and a payment link. Reminders go out automatically and the payment status sits with the order. Counter sales keep running through the till and do not appear on these invoices.

Invoicing from the same software.

Counter sales run through the till and stay there. For business orders, the mixing cards and accepted proposals in the same software are the source for what was delivered. Customers with a purchase order number get it on the invoice automatically, provided it was recorded with the request or approval. The bookkeeper keeps track of VAT and debtors by looking along or using an export.

Invoice on quote or on delivery

Invoicing on the accepted quote is simple and predictable for the customer. Invoicing on actual delivery is fairer when extra bags or substitutions are common. Many shops use the quote as the basis and only charge differences above an agreed threshold, set per customer so nobody hesitates over each invoice.

Per delivery or a monthly invoice

A hotel that buys nuts every week would rather have one invoice a month than four separate ones. For a one-off corporate gift, an invoice per delivery makes more sense. The software remembers per customer which form was agreed. On a monthly invoice each delivery appears as its own block with date and address, so the customer can check it against what arrived.

Mixing work separate or included

For a standard mix, mixing is usually included in the price per kilo. For custom work or a custom label, a separate line for mixing makes it clearer what the customer is paying for. It is a presentation choice that is already settled in the quote, and the invoice simply follows it.

What we set up for your invoicing.

Per business customer the payment term, the threshold above which differences are charged and the choice between an invoice per delivery or per month are ready at the start. Signed off orders appear as invoice lines next to the quote, and after review the invoice goes out with a payment link. A delivery packed exactly as quoted and one with extra bags and a substituted nut are checked together. Reminders and the VAT rate per line are right from day one.

Do counter sales also end up on these invoices?

No. Counter sales run through the till and are already settled there. This invoicing covers business orders with a quote and a mixing card, so the two flows never double up. If you want both in one view, the dashboard shows them side by side.

What if a customer receives fewer bags than ordered?

That shows up in the packed quantity on the mixing card. The software shows the difference and staff decide whether to invoice less or deliver the shortfall later. That decision is noted on the order for anyone who looks back.

Can VAT on nuts and packaging be handled differently?

Yes. Each invoice line gets the VAT rate that belongs to the item, so nuts and packaging can differ. Which rate applies is something to settle with your bookkeeper; at the start we set it up that way in the software, and the bookkeeper sees it in the VAT overview.

Do all invoices have to be built from orders from now on?

No. A one-off invoice that does not come from an order is simply created by hand in the same software, just like a credit note. Building invoices from orders is meant for work with a mixing card and a quote, because that is where most mistakes happen.
