Design and creative production: AI enquiry assistant for model makers
An AI enquiry assistant for model makers that answers questions about scale, detail, supplying drawings and lead times using approved explanations, and brings in a team member for pricing or when in doubt.
Which questions model makers keep getting.
Model makers get the same questions from architects and developers over and over. Will a window frame still be visible at this scale? Which drawings do you need? Can you work from a drawing file or do you prefer a PDF? How much context is usual? Can the model be altered afterwards? These questions come in by email and phone between jobs and are answered by the owner or a maker who was just cutting. The answer is usually a standard explanation, but sometimes there is a rush request or a pricing question behind it that needs picking up quickly. If that gets lost among the routine questions, a job with a hard deadline can slip away.

From question to answer or colleague.
Write and approve the guidance
The workshop writes answers on scale and visible detail, drawings to supply, file formats, typical extent of surroundings and changes after delivery. Those texts are the assistant's only source. It does not give its own answers on prices or whether specific dates are achievable.
Judge the question and its urgency
The assistant recognises whether a question is about how the workshop works or about a specific job. Which scale is usual for an urban model is a matter of explanation. Whether a model can still be made for a particular jury date is a concrete request with urgency that needs to go straight to a team member.
Explain or pass on
For routine questions the assistant gives the approved answer, where useful with a link to scale examples on the site. For pricing, concrete dates or anything uncertain, it says a team member will be in touch and passes the question on with the stated date, model type and any attachments, marked urgent if needed.
On your own information, with a person behind it.
Questions currently come by email, phone and the contact form. The assistant can sit on the website next to the scale examples, and in the customer portal for ongoing jobs. The workshop owns the approved guidance and updates it when working methods change. Forwarded questions land in the inbox or task list the workshop already uses, with the question, the assistant's reply and any attachments. Conversations are kept so the workshop can see which questions keep returning and where the site's explanations fall short.
General guidance only or project questions too
General guidance on scale and supply is simple and can sit on the public website. In the portal the assistant can also answer project questions, such as which drawing revision is in use or when the next progress photo is due. That needs access to project data, limited to the logged-in client's own model.
Forward rush requests immediately or ask first
Forwarding a rush request immediately gets a team member responding quickly, but sometimes without the information needed to judge it. The assistant can first ask briefly for model type, scale and date, then pass it on. That costs the enquirer a minute but gives the workshop a better starting point.
Point to scale examples or text only
A written explanation of what is visible at a given scale stays abstract. A link to a scale example on the site makes it clear at once. If the site has such examples, the assistant can point to them directly, which heads off a lot of follow-up questions. Without them, the answer stays in text.

From approved texts the assistant answers questions about scale and detail, drawings to supply, file formats and changes afterwards, and price questions and concrete enquiries go to a colleague with context and an urgency flag. Before launch we put an architect to it who asks whether balcony railings show at a small scale, and someone who still needs a model for a jury date. The assistant in the portal is switched on later.

Explore pricing and optionsCan the assistant say whether a delivery date is achievable?
No. That depends on the schedule, the drawings and the type of model, and needs the workshop's judgement. The assistant notes the date and key details and passes the question on as urgent. It makes no commitments.
What does the assistant do when it cannot answer a question?
It says so and passes the question to a team member. It does not try to put together an answer outside the approved guidance. The enquirer is told someone will be in touch, and the workshop sees the question in its own overview.
Can visitors give drawings to the assistant?
They can attach a file to their question, but the assistant does not assess the drawing. The file travels with the forwarded question, so the team member has it immediately. The enquirer does not have to send it again.
How do we keep the answers up to date?
The approved texts sit in an admin area the workshop edits itself. If something changes, such as a new machine that allows finer detail, you update the text and the assistant uses the new version from then on. The question log shows where more guidance is needed.
What often connects to this.
