Design and creative production: Quotation software for model makers

Quotation software for model makers that budgets model area, level of detail, surroundings and extras such as lighting and a display case separately, so a client sees what makes up the price.

Quotation software for model makers. A quotation that brings assumptions, calculation and approval together. Example with demonstration data.

Where quotes for model makers get stuck.

Pricing a model is difficult because the price is made up of many components that weigh differently on each job. Model area sets the baseline, but a small building with a complex facade can be more work than a large block with plain surfaces. Model makers often price from experience, with a total in which assumptions about detail, surroundings and finish stay invisible. When the client asks for a discount, it is unclear what could be dropped. And when a new drawing revision arrives mid-build, it is hard to show that it falls outside the original quote, because nowhere did it say which drawings the price was based on.

    State the assumptions

    Done

The quote opens with the drawings and revision it is based on, the scale, the model area and the purpose of the model.

  2. 2

    Price components separately

    In progress

The workshop prices the components individually: main building with its detail level, surrounding buildings, terrain and planting, lighting, base and display case.

  3. 3

    Options and acceptance

    Next

The quote can show options, such as with or without lighting, or a simpler detail level for the surroundings.

From enquiry to signed quote.

State the assumptions

The quote opens with the drawings and revision it is based on, the scale, the model area and the purpose of the model. Those assumptions sit at the top, so it is clear later what was and was not included. A new drawing revision is then recognisable as a change.

Price components separately

The workshop prices the components individually: main building with its detail level, surrounding buildings, terrain and planting, lighting, base and display case. Each component uses the workshop's own assumptions. The client sees that, for example, surroundings in abstract white are considerably simpler than surroundings with facade detail.

Options and acceptance

The quote can show options, such as with or without lighting, or a simpler detail level for the surroundings. The client picks and accepts online. That version, with its drawing revision, becomes the basis for scheduling and invoicing. Later changes are added as an addendum to that version.

Alongside your calculations and price lists.

Model makers often price in a spreadsheet with their own norms per component and lay out the quote in a word processor. We adopt those norms as assumptions: per detail level, per type of surroundings and per extra. The accounting package remains the source for client details and invoices. The quote belongs to the workshop and is stored per version alongside the drawing revision it rests on. Prices from outside parties, such as a display case maker or lighting specialist, can be attached to the relevant component.

Fixed price or time and materials

A fixed price gives the client certainty but is risky if the design keeps changing during the build. Time and materials covers that risk but makes the final price uncertain. A common solution is a fixed price based on a named drawing revision, with a pre-agreed rate for changes that come after it.

Abstract or detailed surroundings

Abstract surroundings in a single colour keep attention on the design and save build time. Detailed surroundings show how the building relates to the existing street, which can matter for consultation or sales. The quote can show both as options, so the client chooses based on purpose.

Display case and transport included or separate

A display case and transport are not always on the client's radar, yet they protect the model and get it to its destination. Pricing them separately shows what they cost and lets the client decide whether to arrange transport themselves. It must be clear, though, who is responsible if the model is damaged in transit.

What we prepare in the quotes.

Your own standards per component are the starting point. With them the quote records assumptions with drawing revision and scale, budgets main building, surroundings, terrain and extras separately and offers variants with digital approval. Together we price a simple massing study and a sales model where a new facade revision arrives halfway through. Adding quotes from outside parties and passing the quote on to planning and invoicing are yours to use after that.

How do we show that a new drawing revision is extra work?

The quote names the revision it is based on. When a new revision arrives, you compare it with the assumptions and create an addendum for what it changes. The client accepts the addendum separately, so the original agreement stays intact.

Can the client choose between detail levels?

Yes. You can show options per component, for example abstract surroundings or surroundings with facade detail. The client sees the difference for each option and chooses. Only the chosen combination moves on to scheduling and invoicing; the other options are kept for comparison.

What if the model area changes during the conversation?

You adjust the area in the quote and the components that depend on it are recalculated. Because the assumptions per component are fixed, you do not need to re-price everything. The previous version is kept for comparison.

Can we reuse a quote for a similar project?

Yes. A quote can serve as the basis for a new one, with drawings, scale and area adjusted. The norms per component stay the same. That saves time with repeat clients who often order similar models, and the original quote remains unchanged.
