Events and rental: Operations dashboard for mobile bar operators
An operations dashboard for mobile bar operators that shows consumption by guest group, staffing and deviations from the quote, with the source behind every figure.
Which figures mobile bar operators really need.
After a season, mobile bar operators usually know which events felt good, but not which ones actually paid off. Was the company party with an open bar profitable, or did that crowd drink far more than the package covered? Do weddings with a long ceremony need more bartenders than you currently price for? Those questions are hard to answer when consumption is on paper, hours in a spreadsheet and purchasing in the accounting package. Averages across all events say little, because a student ball and a business lunch do not belong in the same figure. Without grouping by type of crowd, quotes stay based on instinct.

From scattered figures to one overview.
Agree on definitions
First we agree what counts as consumption, as service time and as a type of crowd. Is a drink a glass of wine or a draught beer, how is a cocktail counted, and how are events grouped: wedding, corporate, private party, public event. Those definitions are fixed, so every figure on the dashboard means the same thing.
Connect the data sources
The dashboard takes estimated consumption and staffing from the quote, actual consumption and hours from the job card and purchasing from inventory. For each event, estimate and reality appear side by side. An event without a closed job card does not count yet, so incomplete data does not distort the figures.
Trace outliers back
An event with much higher consumption than estimated stands out. One click shows the job card, the counts per part of the day and the bar lead's notes. It might turn out that a hot day or an extra part of the programme was the cause, and you can decide whether the consumption profile for that kind of event needs adjusting.
Figures from your own work.
The data comes from what you already record: quotes, job cards, stock counts and the accounting package. The dashboard does not recalculate anything on its own; it shows what those sources contain and where something is missing. Whoever manages a source remains its owner. If you change a consumption profile or rate, you do so in the quote and the dashboard shows the effect on subsequent events.
Per event or per period
A monthly overview shows whether the season is going well but hides why. Per event you see causes but miss the bigger picture. The dashboard starts with grouping by type of crowd per season and lets you drill down to individual events when a group stands out.
Every figure or a few signals
Lots of charts feel thorough, but nobody looks at them after a busy weekend. A handful of signals, such as consumption above estimate, understaffing at the peak and overtime without confirmation, do get read. Start with what leads to a decision and only add more when someone asks for it.
Who gets to see what
The owner wants margins, a planner mainly staffing and overtime, a bar lead perhaps only how their own events went. Deciding visibility per role keeps purchase prices from circulating and keeps the dashboard useful for those who use it daily. Roles can always be adjusted later.

At the start we agree the definitions together; the dashboard then shows estimated and actual consumption by type of crowd, staffing against the busiest moment and drilling down to the job card. We set it against an ordinary month and an event where consumption came in well above estimate. Signals per role and suggestions for adjusting consumption profiles based on the measured season can be switched on later.

Explore pricing and optionsHow many events do we need for reliable figures?
There is no fixed threshold. With a handful of events per type you mainly see outliers; after a season a pattern emerges. The dashboard shows next to each average how many events it rests on, so you do not put too much weight on a figure based on two parties.
Can we see margin per drinks package?
If purchase prices are in inventory or the accounting package and hours are on the job card, the dashboard can show margin per event and per package. It remains an approximation, because fixed costs such as storage or cooling maintenance are not included unless you add them separately.
What if a job card is incomplete?
Then that event is excluded from averages and appears in a list of open items. The planner or bar lead can complete the job card. You also see which crews often miss details, which can itself be a reason to simplify the job card.
Can we compare events with last season?
Yes, once a season of data exists. You compare the same kind of events, for example summer weddings, with the year before. If you change a definition in between, the dashboard shows it, so you are not comparing apples with oranges.
