Events and rental: AI enquiry assistant for mobile bar operators
An AI enquiry assistant for mobile bar operators that helps organisers with questions about drinks packages using your own approved information, and hands over to a person when the answer is not settled.
Which questions mobile bar operators keep getting.
Mobile bar operators get the same questions again and again, usually when everyone is busy at an event. What is the difference between an open bar and charging on consumption? Are alcohol free options available? How much space does the bar need, and can it stand outside if it rains? Someone asking on a Saturday night does not expect an answer on Tuesday. At the same time some questions cost money or trust if answered wrongly: whether a date is free, what a bespoke cocktail menu costs, whether drinks can be served to a young crowd. An assistant has to answer the first kind well and pass the second kind on properly.

Choose and approve sources
You decide what information the assistant may use: descriptions of setups and packages, terms, venue requirements and a list of common questions. Each text is approved by you before it serves as a source. The assistant only uses prices or availability if you explicitly release them.
Recognise and scope the question
The assistant reads the question and decides whether it falls within the approved sources. A question about the dimensions of a tap bar or the difference between packages can be answered. A question about a specific date, a bespoke price or anything about serving rules is recognised as something a team member must handle.
Answer or hand over cleanly
For an answerable question, the assistant gives a short reply with a link to the page where it is explained. When unsure, it says so honestly and asks for date, guest numbers and contact details, so a team member can pick it up with context. The conversation is stored with the enquiry.
On your own information, with a person behind it.
The sources come from your website, quote terms and the answers you currently give by email or message. They remain yours: when you change a package, you update the source and the assistant follows. Handed over questions land in the inbox or enquiry overview you already use. The assistant makes no bookings, changes no quotes and has no access to client details beyond the conversation it is part of.
Answer broadly or scope tightly
An assistant allowed to answer a lot feels helpful but strays more easily into topics it should not touch. Scoping it tightly to packages, setups and general terms sometimes causes a hand-over where an answer would have been fine. Start narrow and widen based on the questions that actually come in.
Mention prices or always refer
Mentioning starting prices per package helps visitors judge whether it fits. Bespoke prices or combinations need a team member. Let the assistant mention only prices that appear on your website, with a note that the final price comes in the quote. The first impression stays accurate and no expectation is created that the quote cannot meet.
Always on or out of hours
An assistant that is also active during the day catches questions while the team is busy preparing events. Using it only outside office hours keeps daytime contact personal but leaves questions waiting on busy afternoons. Whichever you choose, the assistant always says when a person will reply, which avoids disappointment.

The assistant answers questions on packages, setups, venue requirements and terms from approved sources, and hands over everything else with date and contact details. Together we ask it a series of ordinary questions from a couple, and a question about serving a young crowd that it must pass on. After the first weeks we look at which hand-overs keep recurring and whether an approved answer belongs with them.

Explore pricing and optionsCan the assistant tell whether a date is free?
Only if you give it access to an overview of open dates, and then only as an indication. The assistant never books a date. It says a team member will confirm availability and asks for the details needed to do so.
What does the assistant say about alcohol and age?
It gives no explanation of its own. It can repeat your approved text about how the bar crew handles serving and refers anything beyond that to a team member. That prevents an answer being taken as legal advice.
How can we see what the assistant answered?
Every conversation is stored with the question, the answer and the source used. Handed over conversations are flagged. You can check whether answers were right and add sources where people often ask something without getting a good answer.
Can the assistant reply in Dutch as well?
Yes, if you approve sources in Dutch too or agree to a translation of the approved text. For international weddings or corporate events with guests from abroad, having both languages is often useful. Handing over to a team member works the same way in either language.
