Food and specialist retail: Quotation software for meal kit operators
Quotation software for meal kit operators that costs portions, packaging and packing labour per dish, for business clients, events or a new box format.
Where quotes for meal kit operators get stuck.
A meal kit operator charges consumers fixed subscription prices, but as soon as a company asks for weekly boxes for its staff or an events agency wants a one-off batch, a tailored price is needed. That is when the cost per portion proves hard to pin down. Ingredient prices change weekly, a fish dish costs more than a pasta dish and chilled packaging depends on distance and season. Packing a box full of separate portion bags takes longer than a standard box. Without a breakdown the price is set by feel, and it turns out later that every business box loses money.

From enquiry to signed quote.
Set menu and volume
The quote starts with box type, meals per box, number of people and expected weekly volume. If the client takes a fixed menu or leaves it to you, the system uses an average portion cost from recent weeks. For a specific menu it costs the chosen dishes individually, using current ingredient prices.
Cost portions, chilling and packing
Per box the system adds ingredients per portion, recipe cards, ice packs, insulation and the carton. Packing labour is based on the number of handling steps per box, so a box with many separate bags comes out dearer than a simple one. Delivery is added using the delivery partner's rate for that area.
Put the terms in the proposal
The proposal states the price per box, minimum volume, how often the menu changes and the latest moment an order can be placed. It also explains how substitutions work when an ingredient is unavailable. The client agrees to those terms, not just to a number at the bottom of the page.
Alongside your calculations and price lists.
Cost prices per dish often sit in the menu planning or a purchasing spreadsheet. We use that as the source and store for each quote which prices applied at the time. Delivery partner rates live in their own table maintained by logistics. The quotation software writes nothing to the subscription platform; an accepted business quote becomes a recurring order in the packing schedule and a customer record in the accounting package.
Fixed box price or follow the menu
A fixed price per box is easy for the client, but expensive weeks with fish or meat squeeze your margin. Following the menu is fairer but makes the invoice unpredictable. A middle route is a fixed price with an agreed menu budget per portion, which menu planning then works within each week.
Business box as a variant or its own product
A business box can be an existing consumer box at a different price, or a product in its own right with different packaging and dishes. A variant is easy to pack. A dedicated product suits office lunches better, for example, but needs its own recipes and its own place on the packing line.
Delivery included or charged separately
For an office receiving many boxes at one address, delivery per box is low; for boxes going to home workers at different addresses it is high. Charging delivery separately makes that difference visible. Including it keeps things simple, but then the box price has to assume the most expensive scenario.
What we prepare in the quotes.
From the start, business quotes for existing box sizes calculate with portion costs from recent menu weeks, chilled packaging, packing work and delivery costs per region. We put the result next to a business deal you already run, and try an unusual case together, such as a one-off batch for an event at a different address. Your own business products and menu budgets per portion can be switched on once that request comes up more often.

Explore pricing and optionsHow do we set portion cost when the menu changes every week?
The system takes actual ingredient costs from recent menu weeks and calculates an average per portion, optionally per type of dish. That gives you a sound basis for a fixed price. For a custom menu for one client, it costs the chosen dishes directly.
Can a quote allow for seasonal differences in chilling?
Yes. For each season or temperature band you can set a different number of ice packs and amount of insulation per box. The quote uses the setting for the delivery period, or an average if the agreement runs all year.
What if a business client wants more boxes partway through?
You add an amendment to the existing quote. The system shows whether a higher volume justifies a lower price per box, for instance because delivering to one address becomes more efficient. You decide whether to pass that benefit on to the client.
Can we quote for one-off event boxes?
Yes. An event box is priced as a single order with its own menu, packaging and delivery at one moment. The system accounts for extra packing time when that batch has to be packed alongside regular weekly production, and checks chilled storage for the extra boxes.
