Food and specialist retail: Digital job cards for meal kit operators
Digital job cards for meal kit operators: a pick list per meal box with dishes, portion bags, recipe cards and chilling, checked off at the packing line.
What a job card for meal kit operators should hold.
On the packing line of a meal kit operator, people work from a printed sheet or a board showing what goes in which box. With a fixed box that is manageable, but once customers choose their own dishes or exclude allergens, almost every box has different contents. A packer working fast then drops the standard sesame bag into a box that should have been without it. Or the recipe card for a substituted dish is missing. Only when the customer calls does it become clear what went wrong, and by then nobody knows who packed that box or which bag was left out.

Build a pick list per box
For every box the system creates a pick list with dishes, portion bags per dish, recipe cards and the number of ice packs. Allergens and substitutions are clearly marked. The box label with customer and area belongs to the list, so a box and its contents never get separated.
Tick off packing at the line
The packer scans the box label and sees on a screen what goes in. Each component is ticked or scanned. A marked substitution requires an extra confirmation. If a component is out of stock, the packer reports it at once and the box goes to a separate spot instead of on to dispatch.
Close and hand over the box
Only when every component is confirmed can the box be sealed. The system records who packed it and when. Boxes with a reported issue appear on a list for the shift lead, who decides whether a component is topped up, replaced or credited before the box leaves.
No more paper and loose photos.
Box contents come from the subscription platform and menu planning. Packing lines often work from printed lists, sometimes with handheld scanners already used for shipping labels. We connect to those scanners if they can pass on a code. The shipping label continues to come from the delivery partner's system. The record of who packed what belongs to production, not to customer service, which only sees whether a box was closed complete.
Scan every item or just tick it off
Scanning guarantees the right bag goes into the box but needs barcodes on every portion bag. Ticking off is quicker and works without labels, but relies on the packer. Many operators scan only the sensitive components, such as substitutions and allergen-free variants, and add barcodes step by step where errors keep recurring.
A screen per station or a shared list
A screen per packing station shows each packer their own box and allows recording per person. A shared list at the end of the line is cheaper, but it is less clear who did which box. With a lot of variation between boxes, a screen per station is usually worth the investment.
Top up a missing item or credit it
If a portion bag runs out, the box can wait for a top-up, be filled with something else or leave with a credit. Waiting costs time in a tight schedule; substituting needs an approved alternative. The system records which choice was made for each box, so customer service knows what to expect.
What goes on the job card.
Per box a pick list is ready with flagged substitutions and allergens, ticked off at the line and recorded per packer. We try it together on an ordinary packing day and on a day when a portion bag runs out halfway. The printed list can stay around for the first weeks, so the crew can fall back on it if the screen falters. Scanning sensitive components and an overview for customer service can be switched on later.

Explore pricing and optionsDoes this work with temporary packers who do not know the system?
The screen shows only what goes into the box, in the order it lies on the line. Nothing needs typing, only scanning or ticking. A short briefing at the start of the shift is usually enough, and mistakes are caught before the box is sealed.
Can we see afterwards who packed a box?
Yes. Each box records who packed it, when, and which components were confirmed. With a complaint about a missing bag you can check whether it was skipped or reported as out of stock. That helps find the cause rather than blame someone.
How do substitutions get onto the pick list?
A substitution is set in menu planning and applied per customer. The pick list shows the replacement dish with a clear marker and the matching recipe card. The packer confirms the substitution separately, so it cannot be skipped unnoticed.
Do all portion bags need a barcode?
Not necessarily. You can start with ticking off and introduce scanning only for components where a mistake matters, such as allergen-free variants. If errors keep occurring with a particular item, that is a reason to add a barcode there too.
