Food and specialist retail: Inventory software for meal kit operators
Inventory software for meal kit operators that tracks ingredients, portion bags and chilled packaging with their use-by dates, and reserves what each delivery day's boxes need.
Where stock drifts for meal kit operators.
A meal kit operator works with short shelf lives. Fresh herbs, fish and dairy have to go within days, while exact quantities are only known once menu selection closes. Buy too much and you throw it away; buy too little and you substitute or credit. There is also stock that does not spoil but does run out: ice packs, insulated liners and cartons in each size. Often it only becomes clear at packing time that a portion bag has run out or a batch of herbs is past its date. By then the cold room and the spreadsheet have disagreed for days.

Ingredients by lot and date
Every ingredient arrives as a lot with a delivery date and use-by date. Portion bags already filled get their own stock per dish and date. Chilled packaging and cartons are counted per size. For each item you see what is there and how long it remains usable, so nothing hides at the back of the cold room.
Reserve for a delivery day
Once menu selection for a delivery day closes, the system reserves ingredients and packaging for all boxes that day. It picks lots that expire first. If something is short, the buyer sees per ingredient how much is missing and for which dishes, before packing starts rather than in the middle of it.
Record usage and waste
After packing, the system books off actual usage based on the closed pick lists. Anything past its date is recorded as waste with a reason. During a cold room count the system compares what should be there with what is there, so differences do not linger for weeks.
Alongside your purchasing and suppliers.
Purchasing often runs through orders with a few regular wholesalers and local suppliers, tracked in a spreadsheet. Menu planning sets what each dish needs. The software becomes the one stock overview that menu planning and the pick lists both use. Purchasing stays owner of suppliers and orders, production of usage and waste. Ice packs returned by customers can be counted too if you collect them back.
Buy on forecast or on final selection
Waiting until menu selection closes means buying precisely but with little time. Buying on a forecast gives room but risks surplus. A common approach is to buy long life ingredients early on forecast and fresh produce only after selection closes, so the perishable risk is as small as possible.
Portion in advance or on packing day
Splitting ingredients into portion bags in advance speeds up packing day but locks stock into a form you can no longer use for another dish. Portioning on the day is more flexible but needs more hands. The choice can differ per ingredient: dried spices ahead of time, fresh meat on the day itself.
Collect ice packs or single use
Taking ice packs back saves purchasing and suits customers who care about sustainability, but needs a returns process and cleaning. Single use is simpler but costs more. If you collect them, stock also counts what is out with customers and expected back, so purchasing knows how many really need buying.
Which stock we record.
Ingredients per batch with date, portion bags and chilled packaging are tracked, reserved per delivery day and booked out from the pick lists. We do the first count of the cold store together, so the opening balance per batch is right. Then we run an ordinary menu week and a week in which a wholesaler fails to deliver an ingredient. Order suggestions based on the forecast menu choice and tracking returned ice packs can be switched on whenever you want.

Explore pricing and optionsCan the system warn about ingredients close to expiry?
Yes. The overview shows lots approaching their use-by date. The menu team can respond, for example by adding a dish that uses that ingredient. Purchasing sees the same list. Waste becomes visible before it happens rather than after.
What happens to portion bags left over after packing day?
Leftover bags stay in stock with their date. If they still suit a later delivery day, they are reserved first. If they are past their date, you book them off as waste with a reason. The overview shows which dishes regularly leave a surplus.
How do we keep the cold room accurate without counting everything daily?
By counting selectively. The system can suggest which items to count, for instance those with the most discrepancies or the shortest shelf life. A full count is then needed less often while the biggest risks are still watched.
Can we see which supplier causes the most waste?
If every lot is recorded with its supplier, you can compare waste by supplier. Watch for other causes, such as a dish that sold poorly. The overview shows the difference; drawing the conclusion is up to you.
