Business supplies and services: Inventory software for laboratory fit-out companies
Inventory software for laboratory fit-out companies that tracks worktop sheets, offcuts and furniture modules, with the project each item is reserved for.
Where stock drifts for laboratory fit-out companies.
The stock of laboratory fit-out companies consists of expensive sheets of worktop material, offcuts from earlier jobs and furniture modules that are partly stocked and partly ordered per project. A sheet is in the warehouse but already promised to a project being installed next month. An offcut that would be just right for a small sink bench lies under a stack, with nobody knowing its size or material. Base units are reordered on instinct while they are already reserved for another project. Only when loading for site does it become clear what is really missing.

Record sheets, offcuts and modules
Each sheet of worktop material is recorded with material, colour, thickness and size. Offcuts are also recorded after cutting, with their size and location in the warehouse. Furniture modules are counted by type and finish. You can see what is in stock and whether an offcut is big enough for the next job.
Reserve per project and room
When a project is accepted, the sheets and modules it needs are reserved for that room. Anything not in stock goes on the order list with the installation date attached. A reserved sheet no longer shows as free, so nobody uses it elsewhere without the original project suffering.
Update actual usage
After cutting, or when loading for site, actual usage is recorded. A sheet cut differently from plan produces an offcut that is registered straight away. Returns from site, such as a surplus base unit, go back into stock and are available for the next project.
Alongside your purchasing and suppliers.
Stock is often tracked in a spreadsheet or as items in the accounting package, and offcuts usually not at all. The inventory software uses the items from your existing records and adds sheets, offcuts and reservations per project. Orders with suppliers go through your purchasing process. The fit-out company owns the stock data; suppliers provide material specifications and lead times. Offcuts get their own place in the system, so they do not exist only in the memory of whoever does the cutting.
Keep offcuts or scrap them
Offcuts of expensive worktop material can be useful for small tops, window sills or repairs. But they take up space and are often forgotten. You can agree a minimum size below which offcuts are scrapped, and register everything above it. Only what is realistically going to be used is kept.
Stock modules or order per project
Keeping standard base units and tall cabinets in stock speeds up delivery but ties up capital and space. Ordering per project keeps the warehouse empty but makes you dependent on lead times. Many fit-out companies keep a small stock of the most used modules and order special finishes per project.
Warehouse stock only or site stock too
Material already on site is technically still stock until it is installed. Recording it gives a complete picture but requires fitters to log usage on site. A simpler approach is to book material out when it leaves for site and book returns back in. Most companies start there.
Which stock we record.
Boards, offcuts and modules are registered from the start, with reservation per project and room and updating of actual use. Together we replay an ordinary project with everything in stock, and a project where a reserved board turns out to be damaged when it is cut. Purchase suggestions based on reservations and lead times, so you order in time what a room needs, can be switched on later.

Explore pricing and optionsHow do we find an offcut in the warehouse?
When registered, each offcut gets a location, such as a rack and bay, and a label with material and size. Looking for a piece for a small top, you filter by material and minimum size and see where it is. Once used, you book it out.
Can we see which sheets are already reserved for a project?
Yes, a reserved sheet shows the project and room it is meant for. If you want to use it for something else anyway, you see which project then needs a new sheet and can order it before it becomes a problem.
What do we do with modules that come back from site?
They are booked back in with their condition. An undamaged base unit is available again; a damaged one is marked for repair or disposal. Stock stays accurate and a returned cabinet is not forgotten in a corner of the warehouse.
Can we see which materials are used most?
Yes, because reservations and actual usage are recorded, a picture builds up per material and per module. That helps decide which sheets and cabinets to keep in stock and which are better ordered per project.
