Food and specialist retail: Quotation software for juice producers
Quotation software for juice producers that works out fruit yield, bottles, labels and bottling costs per recipe, so the price per bottle holds up for every size.
Where quotes for juice producers get stuck.
The cost of a bottle of juice depends on how much juice a kilo of fruit yields, and that yield varies by fruit, by batch and by season. On top of that come the bottle, the cap, the label, the time on the bottling line and any further treatment. A juice producer that works with a fixed price per kilo and an estimated yield easily ends up selling below cost in a lean season. Quotes for custom labels add design, printing and extra changeover time on the line. If all of that lives in a spreadsheet with hidden formulas, only the owner can write a quote. Juice producers need a calculation that shows yield and bottling costs per recipe.

From enquiry to signed quote.
Start from recipe and yield
Each recipe consists of fruit and any other ingredients with their share. For each fruit there is a current purchase price and an expected press yield in litres per kilo. The system works out how many kilos of fruit the requested volume needs and what that costs, with the yield shown openly as an assumption.
Add bottle, label and bottling
For each bottle size, the costs of bottle, cap and label are added, plus time on the bottling line. For a custom label, design, printing and changeover time are added as separate items. The salesperson sees where each part of the price comes from and can adjust a line with a short note for the owner.
Send and keep the proposal
The customer receives a proposal with recipes, sizes, price per bottle, delivery rhythm and validity. They accept online or ask for a change. The accepted version is stored with the fruit prices and yields of that moment, so you can always see later what the price was based on.
Alongside your calculations and price lists.
Fruit prices come from growers or wholesalers through price lists, contracts or invoices. The quotation software keeps the current price and expected yield per fruit, entered by hand or imported from a list. Bottles, caps and labels come from the purchasing data of your packaging supplier. The accounting package remains the owner of invoices and customer accounts; the quotation software only hands over accepted agreements. Recipes remain the responsibility of whoever runs production.
Fixed yield or per season
A fixed press yield per fruit is simple, but in a dry year a kilo of apples gives noticeably less juice. Working with a yield per season or contract period makes the price fairer, but someone has to keep that figure up to date. A middle way is a fixed value with an alert when the actual yield falls consistently below it.
Annual price or a fruit clause
Hospitality customers like a fixed price for the whole year. For the producer, that is risky if fruit prices rise halfway through. An annual price with a clause covering large price swings gives both sides something to hold on to. Which form fits depends on the size of the customer and how predictable your fruit buying is.
Label costs once or per bottle
Design and print preparation for a custom label are one-off costs. You can charge them separately or spread them over the first order. Separate is transparent; spreading lowers the entry cost but raises the price per bottle. For a one-off event, separate makes more sense than for a regular customer.
What we prepare in the quotes.
Recipes with fruit shares, current fruit prices and expected yields, packaging costs per bottle size and bottling minutes go into the quoting software at the start, with a proposal that is accepted online. An ordinary quote for a café and a custom label for an event in a month when the apple yield disappoints are worked through together. Passing a proposal on to the invoice and a margin overview per recipe can be switched on when you are ready.

Explore pricing and optionsHow do we decide what press yield to use for each fruit?
Most producers know roughly how much juice a kilo gives. For a reliable value, take the average of the last few pressings per fruit. Once actual yields are recorded in production, you can update the value periodically based on real figures rather than memory.
Can a salesperson give a discount without losing sight of margin?
Yes. While preparing the quote, the salesperson sees what margin is left after the discount. You can set a floor below which the quote has to go past the owner first. That allows negotiation without anyone accidentally selling below cost.
What if the customer later wants a different bottle size?
The salesperson creates a new version of the proposal with the new size. Because bottles, labels and bottling time differ per size, the price per bottle changes with it. The earlier version is kept, so it is clear what was changed and why.
Can deposits or returnable bottles be included in the quote?
If you work with returnable bottles or deposits, that can appear as a separate line in the proposal. How it is settled exactly is something you agree with your customers and your bookkeeper. The quotation software carries the agreement through so it also appears on the invoice.
