Food and specialist retail: Customer portal for juice producers
A customer portal for juice producers where customers approve label designs, place and change call-off orders and follow deliveries, without the back-and-forth phone calls.
What customers of juice producers want to see.
Regular customers of a juice producer, such as cafés, hotels and delis, call off juice weekly or fortnightly under a standing agreement. They phone or message their quantities through, often at the last minute, and sometimes the order changes after the cut-off. With custom labels, designs bounce back and forth by email and nobody is quite sure which version was approved. When a bottle with an outdated label reaches the customer, that is hard to explain. Juice producers need a portal where call-offs, label approvals and delivery information sit in one place, with clear moments at which something is locked in.

Set up access per customer
Each customer gets their own area with their standing agreement, recipes, bottle sizes and any custom labels. Several people at the customer can have access, such as the manager and the buyer. The producer decides who can do what: view only, place call-offs or also approve labels.
Show call-offs and labels
The customer sees open and planned deliveries and can enter or adjust quantities per recipe before the agreed cut-off. After the cut-off the call-off is locked. Label designs are listed as versions with dates, and the customer approves a version or leaves a comment directly on the design.
Keep responses with the right item
A change, question or approval lands directly on the related delivery or label. The producer sees in one overview which call-offs are in, which labels are waiting and which questions are open. Nobody has to dig through emails and messages to find out where things stand.
Less email, the same records.
The portal reads standing agreements, recipes and delivery planning from the systems where the producer manages orders and scheduling. Call-offs from the portal go into the same order overview as phone orders, so scheduling has one source. Invoices stay in the accounting package and are only shown as documents. The customer owns their label designs and contacts; the producer owns recipes, scheduling and approved print files.
Fixed cut-off or flexible call-offs
A fixed cut-off for call-offs, for example two days before delivery, makes the schedule predictable. Some customers want to be able to change things until the last moment. A cut-off with an exception button that the producer has to approve gives structure without upsetting important customers, and keeps exceptions visible.
Approve every label version or once
Having every new print version approved is safest, but costs the customer time on small changes such as a different best-before wording. One approval of the design plus a notification for technical changes is quicker. Which fits depends on how strict the customer is about their brand.
Portal for all customers or regulars only
A portal for every customer means even small one-off buyers have to log in, which adds friction. For customers with a standing agreement or custom label it pays off well. Start with regular customers and keep one-off orders on the enquiry form or online shop, opening the portal more widely later.
What customers find in the portal.
Per customer the client portal shows the framework agreement, call-offs with a deadline, label versions with approval and planned deliveries. We try it together with an ordinary weekly call-off from a café, and a hotel that wants to double its quantities after the deadline just as a new label version is ready. Alerts for moved deliveries and invoices per customer in the portal can be switched on once customers are used to it.

Explore pricing and optionsWhat happens if a customer wants to change something after the cut-off?
After the cut-off the call-off is locked. The customer can send a change request, which reaches you with the requested quantities. You check whether it fits the pressing and bottling schedule and approve or decline it. The customer sees the decision straight away.
How do we make sure nothing is bottled with an old label?
Only the most recently approved version is linked to the batch card. Older versions stay visible but are marked as replaced. If a new version is waiting for approval, production can see that and nobody has to guess which label to use.
Can customers order new flavours through the portal?
They can choose from recipes covered by their agreement. If a customer wants to try something new, they can submit a request that goes to sales. Price and availability stay under control, while the customer still has the right place to raise the idea.
Do customers need to install an app?
No. The portal works in the browser on phone and computer, so a manager can fill in the call-off from the kitchen. Anyone who prefers a reminder can choose to receive an email when a cut-off is near or a label is waiting for approval.
