Transport and delivery: Operations dashboard for delivery and assembly operators

An operations dashboard for delivery and assembly operators that shows incomplete assembly by cause, so it becomes clear where second visits come from and who can prevent them.

Operations dashboard for delivery and assembly operators. An operations dashboard that shows deviations and their source. Example with demonstration data.

Which figures delivery and assembly operators really need.

Incomplete assembly costs a delivery and assembly operator a second trip, a second crew and an unhappy consumer. The causes vary: a part missing from the box, a damaged item, a consumer not at home, a room not prepared, a crew short of time or carrying the wrong tools. The office knows it happens often, but not why. Each cause has a different owner: the shop, its supplier, the consumer or the operator itself. Without an overview by cause, conversations with retailers get stuck in anecdotes and nothing improves structurally.

Example
  1. 1

    Agree the causes once

    Done

First you agree a fixed list of causes: part missing, item damaged, consumer not home, room not prepared, not enough time, tool missing, situation different from what was stated.

  2. 2

    Connect job cards and planning

    In progress

For each incomplete job, the dashboard takes the cause from the assembly job card, planned and actual time from the schedule and the home situation stated in the enquiry.

  3. 3

    Investigate patterns by cause

    Next

An overview by cause, per retailer, per item and per crew shows where second visits pile up.

From scattered figures to one overview.

Agree the causes once

First you agree a fixed list of causes: part missing, item damaged, consumer not home, room not prepared, not enough time, tool missing, situation different from what was stated. Each cause gets an owner, so an overview immediately shows who can change something.

Connect job cards and planning

For each incomplete job, the dashboard takes the cause from the assembly job card, planned and actual time from the schedule and the home situation stated in the enquiry. You can see whether time ran out because of a tight estimate or because the situation turned out different from what was stated.

Investigate patterns by cause

An overview by cause, per retailer, per item and per crew shows where second visits pile up. When the planner clicks on a cause, they see the orders with photos and notes. A conversation with a shop about missing fittings is then backed by concrete orders.

Figures from your own work.

The data sits in the assembly job cards, the schedule and the enquiry forms. The dashboard reads them and links them per order; it changes nothing at the source. The crew owns the cause recorded on site, the planner owns time estimates, the retailer owns its items and suppliers. Existing delivery overviews per retailer remain useful; the dashboard adds the question of why an assembly was not finished.

Crew picks the cause or planner decides

The crew sees on site what goes wrong and can pick the cause straight away. But a crew that ran short of time may lean towards situation different from what was stated. The planner can check the cause afterwards against photos and times. Letting both contribute, with the planner accountable, is fairest.

Share per retailer or keep internal

An overview of incomplete jobs caused by missing parts is valuable to the shop and its supplier. Causes within your own crew are first an internal conversation. The dashboard can create a view per retailer showing only the causes that concern them. You decide in advance what is shared.

Number of second visits or time lost

The number of second visits is easy to count, but says nothing about impact: a second visit for a small door is different from one for a whole kitchen. Time lost per cause gives a better picture of the cost. Showing both side by side helps set priorities.

Which figures we put on the dashboard.

The dashboard shows incomplete assembly by cause, with an owner for each cause and a click-through to the orders with photos and times. Which causes you distinguish is agreed with you at the start. To see whether that breakdown holds, we look together at an ordinary period and at an order where the crew ran short of time because the home turned out different from what was stated. Views per retailer and time lost per cause are switched on when you want to follow those figures.

What if there are several causes?

The crew can choose a main cause and add contributing ones. The overview counts the main cause but shows the contributing causes with the order. The overview stays simple without losing information, and the time-lost view can weigh in the contributing causes.

Can we use this to raise supplier issues with our retailers?

Yes, with an overview of incomplete jobs due to missing or damaged parts per item and supplier, with photos. That is a more concrete conversation than a general complaint. The retailer can use the overview with its own supplier.

How do we stop crews passing the blame?

By checking the cause against photos and times, and by giving the planner final responsibility. A crew that often reports a situation different from what was stated, while photos do not show it, stands out. The point is that the overview is accurate, not blame.

Does all our old data need to go in?

No. The dashboard starts from the moment the list of causes is agreed and crews use it. Older data without a fixed cause is hard to compare and gives more noise than insight. If you want a look back, a few notable old orders can be labelled by hand for comparison.
