Food and specialist retail: Quotation software for ice cream makers
Quotation software for ice cream makers that prices cakes, carts at events and trade supply from ingredients, decorating work and freezer space, so special jobs are not sold below cost.
Where quotes for ice cream makers get stuck.
Ice cream makers get requests with no set price: a four tier wedding cake, a cart at a company party for two hundred guests, a restaurant that wants its own flavour developed. The price is often estimated from what a scoop costs in the parlour. But a flavour made with pistachio paste or good vanilla costs far more in ingredients than a lemon sorbet, and decorating a cake with sugar work can take hours. A cart adds transport, staff and equipment. Without a calculation that includes those parts, the maker earns less on the big jobs than over the counter.

From enquiry to signed quote.
Record cost per flavour
For each flavour the maker records what a litre of mix costs in ingredients, based on their own recipe. Expensive ingredients such as nut paste, vanilla or chocolate are weighed in properly. Fixed items are added too: cake bases, decorating materials, packaging and the time for production and decorating.
Put the job together
For a cake the maker chooses size, flavours and decoration; for a cart the number of guests, flavours, duration and venue. The quote works out how much ice cream is needed, what it costs in ingredients and labour, and what transport and staff add. Every part can be adjusted.
Proposal with clear limits
The customer receives a proposal with the price, contents, date and what is and is not included, such as extra hours for a cart or delivery of a cake. Once accepted, the proposal becomes a job that goes into the production schedule.
Alongside your calculations and price lists.
Recipes often live in a notebook, a spreadsheet or the maker's head, purchase prices on wholesaler invoices and quotes in a word processor. We turn recipes into a cost per litre that the maker manages, without the recipe itself having to be visible to anyone else. Purchase prices are updated periodically. Accepted quotes can go to the accounting package as a draft.
Price per scoop or per litre
For a cart you can charge per guest, per scoop or per litre taken along. Per guest is clear for the organiser, but guests sometimes take more than expected. Per litre covers real use but is hard to estimate in advance. A price per guest with a maximum number of scoops is a common middle way.
One price for all flavours or per flavour
A single price regardless of flavour is simple, but the cheap flavours then subsidise the expensive ones. A surcharge for certain flavours is fairer but harder to explain at the counter. For cakes and trade supply, where the customer chooses the flavour, pricing expensive flavours separately pays off.
Developing a flavour for a client
A restaurant that wants its own flavour is asking for development work: test batches, adjusting and tasting again. You can charge for that separately or build it into the supply price. Charging separately is clear if the arrangement ends after a few deliveries; building it in suits a long relationship.
What we prepare in the quotes.
Your cost per litre for the regular flavours and the building blocks for cakes and an ice cream cart go into the quote, which the customer accepts online. Then we work through an ordinary birthday cake together, and a cart for a large company party where the number of guests changes after approval. Trade supply with price agreements and updating purchase prices can be switched on when those jobs actually come in.

Explore pricing and optionsDo we have to put our recipe in the software?
Only the ingredients and quantities needed to calculate cost. That part is only visible to people you give access. Customers never see the recipe, only the price. If you would rather keep the recipe out of the software entirely, you can enter a cost per litre directly.
How do we account for decorating work?
For each decoration option you record how much time and material it takes. A chocolate message is quick; sugar work or an edible print is not. The quote adds that to the cake. You see which designs are labour heavy and can charge accordingly.
What if the weather turns for a cart booking?
That is an agreement that belongs in the proposal: whether the booking goes ahead in bad weather, until when the customer can cancel and what is charged then. The software can include such a condition as standard, so you do not have to think it up for every quote.
Can we update quotes when the guest count changes?
Yes. The quote is recalculated with the new number and the customer receives a new version showing the difference. The proposal states until when that is possible, because after a certain point the ice cream has already been made and frozen.
