Food and specialist retail: Customer portal for ice cream makers
A customer portal for ice cream makers where customers review their cake design, chosen flavours and collection time, and restaurants manage their regular orders and deliveries.
What customers of ice cream makers want to see.
A cake from ice cream makers is often a gift or the centrepiece of a party, and the customer wants to be sure it is right. Is the message spelled correctly, are the flavours as requested, what time should it be collected? Right now that runs through loose messages, where a correction to the wording is easily missed. For a custom design, the customer wants to see a sketch before the cake is made. Trade customers who take ice cream weekly phone to check whether their order is noted or to swap a flavour. A place where customers see their choices, approve the design and follow the status prevents last minute mistakes.

From invitation to approval.
Access per order or per account
A private customer gets a personal link to their cake order. A restaurant or hotel gets an account with several users. The maker sets who may order and who may only look. It is always clear who made a change. For a wedding, a master of ceremonies can be given view access too.
Approve design and message
For a cake, the customer sees their chosen size, flavours, decoration and the message exactly as it will appear. For a custom design, the maker uploads a sketch or example, and the customer approves it or asks for a change. Only after approval does the cake go into production.
Follow status and collection time
The customer sees the status of their order, from received to ready for collection, and the agreed collection time. Until a point the maker decides, they can move that time themselves. Trade customers also see planned deliveries here and can repeat a standing order.
Less email, the same records.
The portal shows orders from the order form and the planning, and only what belongs to the customer. The ice cream maker uploads sketches and examples. Trade invoices are made in the same software, so the portal shows them with their payment status. Messages about the order run through the portal instead of separate messaging apps, so they stay with the order.
Approval for every design or only bespoke
A standard cake with a short message does not need to go past the customer, although confirming the spelling is useful. A custom design does need approval, because expectations may differ from what the maker has in mind. The portal can set per type of cake whether approval is required.
Letting customers move collection or fixing it
Customers like being able to change their own collection time. But a cake waiting too long outside the freezer, or a slot that is already full, causes problems. Moving within available slots and up to a fixed cut off keeps it workable. The portal only shows slots that are still free.
Trade in the same portal or separate
Private customers and trade use the portal very differently: one once for a cake, the other weekly for tubs of ice cream. A shared portal with different views per customer type is usually enough. If the trade side becomes large, a separate area with delivery schedules can be clearer. Start with one portal and review after a season.
What customers find in the portal.
Private customers get a link to their cake order with choices, text, design approval and collection time; trade customers get an account in the client portal to view and repeat orders. With a standard birthday cake and a custom design cake for which the customer asks for two changes, we check together that everything comes through properly. An invoice overview and delivery schedules for restaurants can be switched on later.

Explore pricing and optionsCan a customer still change the message on the cake?
Until a point you set, usually before decorating starts. After that, a change becomes a request the maker reviews. The message does not change while the cake is already decorated, but the customer still has a chance to fix a typo.
How does a customer approve a design?
The maker uploads a sketch or example to the order. The customer gets a message, views it in the portal and chooses approve or change, with a comment. Every version is kept, so it is clear later what was agreed.
Do trade customers see their planned deliveries?
Yes. A trade customer sees upcoming deliveries with flavours and number of tubs, and can make changes up to a fixed cut off. Earlier orders can be repeated for a new date. They do not need to phone to ask what is coming.
Does a private customer need an account?
No. A personal link in the confirmation is enough to see the order, approve the design and move the collection time. An account is only handy for customers who order more often and want to reorder an earlier cake.
