Outdoor spaces and grounds: Operations dashboard for green roof installers

An operations dashboard for green roof installers that shows per roof and roof area where repair spots are, which maintenance visits are behind and where installation departed from the layout.

Operations dashboard for green roof installers. An operations dashboard that shows deviations and their source. Example with demonstration data.

Which figures green roof installers really need.

A green roof installer with hundreds of roofs under maintenance often does not know which roofs need the most repairs. Bare patches, blocked outlets and weeds are noted at maintenance visits, but those reports sit per roof in a folder. Whether repairs keep recurring on the same kind of roof area, for example south facing or with a particular planting mix, cannot be seen. At green roof installers the maintenance itself sometimes falls behind too: a spring visit done in summer because installations took priority. And departures from the layout during installation are never linked to later problems on the same roof area.

    Done

We agree what counts as a repair area, which kinds exist, such as bare patch, weeds, blocked outlet or damaged edge, and when a maintenance visit counts as overdue.

The dashboard reads repair areas from maintenance cards, planned visits from the schedule and the build-up from the roof file.

From scattered figures to one overview.

Agree definitions and categories

We agree what counts as a repair area, which kinds exist, such as bare patch, weeds, blocked outlet or damaged edge, and when a maintenance visit counts as overdue. Without those agreements, one crew records a bare patch as a repair and another does not, and the overview is wrong.

Connect job cards and schedule

The dashboard reads repair areas from maintenance cards, planned visits from the schedule and the build-up from the roof file. Per roof and roof area it shows what was found, when, and whether the repair was done. Departures from the layout during installation are shown alongside.

Investigate patterns and backlog

A roof with recurring bare patches stands out. Drilling down shows the operations manager whether it is one roof area, a particular system or an aspect. He also sees which maintenance visits are behind and for which clients, so he can shift capacity or start the conversation.

Figures from your own work.

The dashboard creates no new data; it reads from the job cards, maintenance schedule and roof file you already use. If a roof's aspect or planting mix is recorded, those can serve as filters. The operations manager owns the definitions, the foreman owns the recording of repair areas. Clients do not see the dashboard, but a derived overview per roof can be shared through the portal.

View per roof or per system

Viewing per roof shows where repairs are needed and helps with scheduling. Viewing per system or planting mix shows whether a particular build-up causes problems more often. Both are useful for different decisions: the first for this week, the second for what you offer in future quotes.

Record repairs at maintenance or separately

Repairs done during a maintenance visit easily disappear from view because they are not separate jobs. It still matters to record them, or a roof looks trouble free while it needs repairs at every visit. A short entry on the maintenance card is enough to keep that picture honest.

Show backlog to clients or not

Telling clients a visit is behind is honest, but can cause dissatisfaction. Not showing it avoids that conversation, but then the client only hears when they ask. A derived overview with the reason and the new date is often the best middle ground. It keeps the client informed without surprises.

Which figures we put on the dashboard.

Agreed categories, maintenance cards next to schedule and roof file, and an overview of repair areas and overdue maintenance per roof and roof area: that is what the dashboard opens with. Together with the foreman we look at an ordinary month and a spring in which installations are so busy that maintenance visits slip. Analysis by system and planting mix and an overview for clients can be added once there is enough data.

Can we see whether certain planting mixes cause more problems?

If the planting mix is in the roof file and repair areas are recorded consistently, yes. The dashboard can then show per mix how often repairs were needed. That helps decide what you offer in quotes, although the roof's aspect remains an important factor.

How reliable is the recording of repair areas?

As reliable as the input. Fixed categories and a position on the roof plan help, because the foreman chooses rather than describes freely. A periodic review of notable roofs with the foreman keeps the recording sharp.

Can we share the dashboard with a property manager?

Not directly, because it also holds internal information about crews and scheduling. A derived overview per client can be produced, with repair areas and maintenance per roof. That can go through the portal or as an attachment to a meeting.

Does the dashboard show which outlets block often?

If blocked outlets are recorded as their own category with a position on the roof plan, yes. You can then see which roofs and which outlets keep coming back. That may be a reason to change the gravel strip or outlet box at the next visit.
