Green roof installers handle two kinds of stock that need very different storage. Drainage boards, filter fleece, edge profiles and gravel can sit in the warehouse for months. Sedum mats and plug plants are alive and deteriorate if they stay rolled up or in the shade too long. Substrate arrives in bulk bags or loose and is hard to count. When a project slips, the mats are already waiting and someone has to choose: lay them on another roof, send them back or leave them. Record stock by type and place
Each item has a type, a location and, for living material, a delivery date. Drainage boards and filter fleece are counted per roll or pack, substrate per bulk bag or per load. You can see straight away what is in the warehouse, what is on site at a project and what is in transit.
Reserve for scheduled roofs
A scheduled project reserves the materials it needs based on the layout. For living material, no stock is held; instead a delivery is ordered to match the laying date. The stock keeper sees what is free and what needs ordering for the coming weeks.
Update usage and leftovers
After laying, the job card books out what was used. Leftover filter fleece or drainage goes back to the warehouse. Leftover sedum mats trigger an alert, so the planner can decide whether they can be used on another roof before they decline.

Stock is currently tracked in a spreadsheet or by eye in the warehouse. Orders go by email or through the system supplier's portal. The inventory module takes over your existing items and links to quotes for reservations and to job cards for usage. The buyer remains the owner of orders, the warehouse staff of the stock on the shelves. Supplier invoices stay in the accounting package.
Sedum in stock or ordered per project
Ordering sedum mats per project keeps them fresh, but makes you dependent on the grower's lead time. Holding a small stock gives flexibility for urgent jobs and repairs, but needs a place where the mats can keep growing. Most installers order per project and only hold on to leftovers.
Substrate in bulk bags or loose
Bulk bags are easy to count and lift, but cost more per cubic metre. Loose substrate is cheaper on large roofs, but needs a blower lorry or extra lifting and is harder to book out accurately. The choice usually depends on the roof and the access, and can be recorded per project in the stock system.
Keep leftovers or write them off
Small leftovers of filter fleece and drainage are useful for repairs and small roofs. Keeping them takes storage space and needs recording. Writing them off is simpler, but then material is reordered that was actually still there. A fixed place for leftovers with a short record is often a reasonable middle ground.

Together we go through an ordinary week with two installations and a week in which an installation is postponed after the sedum mats have already been delivered. Yes, if the delivery date is recorded. Stock shows per delivery how long it has been waiting and warns when that exceeds the limit you set. The planner can then decide to use the mats on another roof.
How do we count loose substrate?
On delivery, the quantity is recorded from the delivery note. Usage is booked out based on the roof area and layer depth on the job card. Because that is an estimate, a check after the project helps correct the remainder.
Can we reserve material for maintenance repairs?
Yes. A scheduled maintenance visit with a known repair can reserve material, such as a few sedum mats or a bag of substrate. It is then ready when the crew goes out and does not get used for an installation in the meantime.
What about material left with a client?
That is booked out as delivered and recorded in the roof file, for example a few spare mats for small repairs. You and the client both know it is there, and it gets used first at the next maintenance visit.
