Outdoor spaces and grounds: Quotation software for garden structure builders
Quotation software for garden structure builders that works out timber volume, roof finish, foundations and fixings from one set of dimensions, with options and assumptions shown separately.
Where quotes for garden structure builders get stuck.
A quote from garden structure builders has many parts that affect each other. A wider span needs heavier beams, a glass roof more posts, a freestanding structure different foundations from one fixed to the house. Working that out by hand, it is easy to forget a row of joist hangers or the downpipe. Customers also want to see options: Douglas fir or hardwood, polycarbonate or glass, a side panel or not. Recalculating each option costs an evening. The calculation has to derive timber, roof and fixings from a single set of dimensions and show what changes with each choice.

From enquiry to signed quote.
Set dimensions and frame
The draughtsman records length, depth, height at the wall and at the front, and the position of the posts. The spans follow from that. For each component he picks timber and section, with your standard for that span suggested. Assumptions about the ground and the wall are listed separately.
Work out timber, roof and fixings
From the dimensions come timber volume per section, roof area with finish and gutter, the fixings and the number of pad foundations or ground screws. The draughtsman can deviate on any item but sees what the standard was. Installation hours follow from the type of structure and the access.
Present options side by side
The customer receives a proposal with the base version and the options listed separately: a different roof, a different timber, a side panel or lighting. On acceptance it is recorded which combination was chosen and which drawing belongs to it. That carries on to ordering, scheduling and the construction card.
Alongside your calculations and price lists.
Garden structure builders often price with a spreadsheet and price lists from the timber merchant and roofing supplier, and draw in a drawing program or by hand. We decide which price lists lead, who updates them and how the drawing joins the quote. Standards for sections per span, foundation depth and installation hours are set once by the owner. The accepted proposal is the basis for the invoice, so additions can be traced to a change.
Price per model or built up
A fixed price per model is clear and quick, but fits poorly with changes. A built-up price from timber, roof, fixings, foundations and installation shows exactly what a change costs. A combination often works: a starting price per model, with adjustments added as separate lines above it.
Foundations priced or provisional
The ground is only certain once it has been dug. You can price foundations generously, or include a provisional sum with a clear agreement on how more or less is settled. For a canopy on an existing concrete patio it is usually certain; for a freestanding structure at the bottom of an old garden much less so.
Installation included or shown separately
An all-in price including installation stops customers comparing with a kit. Showing installation separately makes the cost of the craftsmanship visible and leaves room for customers who want to help. The risk with the latter is that responsibility for the setting out blurs, so record who does what.

At the start one type of structure calculates in full, such as canopies against the house, covering dimensions, timber, roof finish, fixings, foundations and installation. The owner sets the section tables beforehand. Together we price an ordinary canopy with a polycarbonate roof, and a variant where the customer switches to glass and the span needs an extra post. Freestanding structures and passing orders on to timber purchasing are switched on after that.

Explore pricing and optionsCan the quote pick a heavier beam for a wider span automatically?
The quote suggests the section you have set as standard for that span and roof finish. The draughtsman can override it. The system does not do structural calculations; it uses your own tables and shows which rule was applied.
How do we show options without making the quote unreadable?
The base version sits at the top with one total price. Options follow as choices with the difference in price, such as glass instead of polycarbonate or a side panel on the left. The customer ticks what they want and sees the new total.
Can we attach the drawing to the quote?
Yes. The drawing belongs to that version of the quote and is sent with it. If the customer changes a size or option, a new version is created with an updated drawing. It is always clear which drawing goes with the acceptance.
What if the customer wants a change after accepting?
It becomes a new version with the change and the price difference. If the timber has already been ordered, the quote shows which parts are fixed. The customer approves the change separately, so the original acceptance stays intact.
