Outdoor spaces and grounds: Digital job cards for garden structure builders
Digital job cards for garden structure builders with a construction card full of dimensions, post positions and joints, so the crew in the garden knows exactly what to build.
What a job card for garden structure builders should hold.
On site, garden structure builders often work from a printed drawing with a few measurements scribbled on it. Exactly how high the wall plate sits, which way the gutter falls and which side the sliding panels open is not always shown. When the crew hits an obstacle, such as a downpipe where a post should go, something gets improvised that cannot be traced later. An extra light point or a longer gutter is agreed with the customer and forgotten on the invoice. When a leak complaint comes in, nobody remembers exactly how the junction with the house was made.

Hand over the construction card
The job card holds the construction card with every dimension, the position of posts and footings, sections, joints, roof pitch and the route of the rainwater drainage. Each dimension states its reference point, such as the top of the window frame or the floor level. It also lists the fixings and the wall anchoring to be used.
Record the build step by step
After foundations, frame and roof, the crew takes photos and ticks off the step. A deviation, such as a post moved along because of a pipe, is recorded with a photo and a reason. The draughtsman sees it the same day and can update the drawing.
Hand over with the customer
At handover the crew walks the customer through: dimensions, finish, whether the roof is watertight, how the sliding panels run and clean-up. The customer signs off. Open points, such as a skirting board still to come, get their own line and a date.
No more paper and loose photos.
At garden structure builders, job cards are often a printout of the drawing, notes on a site board and photos in a group chat. We decide which details from the quote and drawing carry over to the construction card and what the crew adds. Hours can stay in the existing time recording. Photos are linked to the project instead of disappearing into a chat. The crew leader owns what happens on site; the draughtsman owns the drawing.
Full drawing or just the card
An experienced crew needs little more than a construction card with the key dimensions. A full drawing with elevations helps on complex projects and with newer staff. The job card can show the card first and the full drawing behind a button, so both are available and each person opens only what they need.
Solving deviations or consulting first
Moving a post slightly because of a downpipe is something the crew can decide. A different roof pitch or an extra post needs consulting, because it affects the structure and possibly the price. The job card can state per type of deviation who may decide, so no argument arises.
Recording additions now or later
A customer who asks for an extra light point or a shelf during the build often gets an immediate yes. If that is recorded on the job card straight away with a description and approval, it reaches the invoice. Written down later, it often gets lost or leads to a dispute.

The crew gets a job card with construction card, step sign-off with photos, deviations with a reason, additions with approval and the handover with signature. Together we walk through an ordinary canopy against the house, and a structure where a hidden pipe turns out to sit exactly where a wall fixing should go. Additions that land on the invoice by themselves and hours from time recording can be switched on once the crews are used to it.

Explore pricing and optionsDoes the job card work with no signal in the garden?
Yes. The job card is loaded beforehand and works offline. Photos and sign-offs are stored and sent once there is signal again. The crew can keep building, even at the bottom of a garden with no reception, and nothing is lost.
How do we record how the wall junction was made?
The crew photographs the wall fixing and the flashing before they are covered. Those photos belong to the project. If a question about leaking comes up later, you can see how it was made and which materials were used.
Can builders change the drawing themselves?
They can report a deviation with a photo and a reason. The draughtsman or crew leader decides whether it becomes a change to the drawing. There is one valid drawing, and everyone can later see why the structure differs from the original drawing.
What if the customer is not home at handover?
The crew can record the handover with photos and a short note, and the customer receives an invitation to sign off or report points afterwards. Open points stay visible until they are dealt with. Nothing slips through.
