Events and rental: Customer portal for food truck operators
A customer portal for food truck operators where clients review menu agreements, guest count, dietary needs and venue details, and update them until the agreed deadline.
What customers of food truck operators want to see.
Between booking and event a lot still changes. The guest count shifts, a guest with a nut allergy is added, the venue moves the truck to the back of the site and serving slips half an hour because the speeches overrun. That now goes by email and messages, often with the partner, the wedding planner and the venue all separately. A week before the event nobody is sure which guest count is final, whether the gluten-free option was agreed or where exactly the power connection is.

Arrange access
The client gets access to their own booking and can invite others, such as a partner, wedding planner or colleague for a company event. For each person you decide whether they only view or may also change details. A venue manager can get separate access to just the pitch, power details and times.
Show agreements and deadlines
The portal shows per booking the chosen menu, agreed serving times, current guest count, dietary needs, venue details and the date by which the final count must be known. Every change keeps the previous value visible, so there is never doubt about what applies.
Link changes to the booking
When the client changes the guest count or adds a dietary need, you get a notification and see what it means for purchasing and the quote. After the agreed deadline the client can still submit a change, but as a request you review rather than a direct update.
Less email, the same records.
Arrangements with clients now run through email, chats and sometimes a shared document. The portal does not replace those conversations but puts the agreements in one place. Menu and recipes are yours, guest count and dietary needs belong to the client and venue details to the venue. The portal records who changed what and when. You can keep messaging as usual, but the final details live in the portal.
Client edits or requests changes
Letting the client update the guest count saves messages but can upset purchasing if it happens just before the event. Allowing only requests gives you control but more work. A common solution is self-service until the deadline, and after that only requests you approve, so late changes never slip through unnoticed.
Dietary needs per guest or per group
Collecting needs per guest gives precision but asks a lot of the client, especially at large weddings. Per group, such as a number of vegetarians and a few guests with an allergy, is usually enough for prep. For severe allergies, a personal conversation is better than a tick box in the portal.
Let the venue look in or not
Giving the venue manager access to pitch and power avoids surprises on arrival. Not every venue wants to log in for that. You can also email the relevant details as a summary from the portal, so the agreements are still kept in one place and everyone works from the same version.

Per booking the client sees the menu, serving times, guest count with deadline, dietary needs per group and venue details in the portal, with roles for who may look along. Together we try an ordinary company lunch where little changes, and a wedding where the guest count rises after the deadline and the venue moves the pitch. Deadline reminders and a summary for the venue can be switched on later.

Explore pricing and optionsDoes the client need to create an account?
No, the client receives a personal link by email or message. For business clients with recurring bookings a permanent login can be handier. Anyone you invite only sees the bookings they were invited to, which keeps the threshold low.
What if the guest count changes after the deadline?
The client can request a change. You see the request and judge whether you can still buy and prep the extra portions. If you agree, it becomes an addition to the quote; if not, the client is told the earlier number stands.
Can clients still change the menu?
Until a date you set, the client can choose from the options in their package. After that the menu is fixed, because you have to buy and prepare. Changes after that date come to you as a request.
Does the venue see the menu or the prices?
No, unless you want it to. The venue manager only sees what is relevant: the pitch, power needs, arrival and departure times and the crew's contact on the day. Prices and your agreements with the client stay private.
