Food and specialist retail: Enquiry form for fishmongers

An order form for fishmongers that records the requested weight, the preparation and the collection time for every order, so counter staff do not have to ring back.

Enquiry form for fishmongers. An enquiry form that collects the required information step by step. Example with demonstration data.

What makes an enquiry complete for fishmongers.

An order at fishmongers is rarely just an item and a quantity. The customer wants salmon for six, but does he mean a whole side, steaks or skinless fillet? Does she want the bream gutted or whole, and is sea bass fine if there is no bream? Orders by phone and messaging apps leave exactly those questions open. On the morning of collection, the person at the counter holds a note saying two kilos without knowing whether that is the weight before or after cleaning. Ringing back takes time and does not always work, so people guess. The form has to settle those choices up front.

From form to assessed enquiry.

Quantity in the customer's terms

Customers think in people or pieces, the shop thinks in weight. The form lets customers order the way they think, such as four steaks or a fillet for four, and converts that into an indicative weight. For whole fish it asks whether the weight means before or after cleaning, because the gap can be large.

Ask about preparation and substitutes

For each species only the preparations that suit it appear: filleting, scaling, cutting into steaks, head on or off. The form then asks what should happen if the fish does not arrive: a suggested substitute, call first, or drop the item. That answer appears on the order sheet later.

Match collection to preparation time

The customer picks a collection day and slot from those the shop opens up. Orders that need a lot of knife work, such as a complete platter, can only be booked into slots with room for it. The order then arrives with every choice in one place, ready to confirm or to send back with a question.

Enquiries in one place, not the inbox.

Orders currently come in by phone, messaging apps and at the counter, and end up in a notebook or on a whiteboard. The form does not replace those channels straight away. Counter staff can enter phone orders in the same screen, so everything sits in one list. Prices and the range stay in the till; the form only uses the species and preparations the shop has released. The confirmation to the customer only goes out once someone at the shop has looked at the order.

Asking for weight or for portions

Customers rarely know how many grams of fish they need per person, but they do know how many are eating. Ask for portions and the counter decides the weight, so the customer does no maths. Ask for weight and you get more precise orders from regulars and restaurants. Many shops offer both, with portions as the default.

Allow substitutes or always check

An automatic substitute saves a phone call, but not every customer is happy with coley instead of cod. The form can ask each customer what they prefer. Some shops only allow substitutes within the same kind of fish, such as another white fish, and ring for anything beyond that.

Confirm instantly or review first

An instant confirmation feels good to the customer, but the shop only knows after the delivery whether the order can be filled. A receipt followed by a real confirmation is more honest. For standard items that are always possible, such as smoked salmon from your own stock, the confirmation can go out at once, while fresh species go past the counter first.

Which questions the form asks.

The form with species, preparations and the substitution question is ready at the start, together with an entry screen for phone orders and one list with all orders per collection day. We go through an ordinary Saturday with you, and an order whose fish does not arrive, to see whether the substitution choice comes through properly. Platters with their own choices and paying in advance for holiday orders can be switched on when you want them.

Can customers say they want the fish pin boned?

Yes. Each species lists the preparations the shop offers, including boneless fillets where that is possible. For species where it cannot be done completely, the form can show a short explanation so the customer does not expect the impossible. The choice appears word for word on the order sheet.

What if a customer keeps ordering by phone?

Then counter staff enter that order in the same screen, with the same questions about weight, preparation and substitutes. The form acts as a checklist. The benefit is that phone and online orders sit in one list per collection day, and nobody has to search through a notebook any more.

Can we set a limit for busy days?

Yes. For each day or slot the shop can set how many orders or how much preparation work fits. Once a slot is full it can no longer be chosen, and the customer sees when there is room. Around the holidays this stops you taking on more platters than the back room can handle.

Does the customer get a confirmation automatically?

The customer gets an immediate receipt listing their choices. A final confirmation follows once the shop has seen the order and knows the fish will be there. For items that are always in stock, that confirmation can go out straight away if you set it up that way.
