Events and rental: Scheduling software for festival production teams
Scheduling software for festival production teams that allocates setup zones, logistics slots and crew per day, so suppliers do not get in each other's way on site.
What makes scheduling hard for festival production teams.
During a festival build, festival production teams have dozens of suppliers who all want to work on the same site. The stage builder needs the access road for trailers, the power supplier must lay cables before the fencing goes up, and the caterer arrives early because their driver was given a different time. A spreadsheet with names per day does not show that two lorries need the same narrow gate at once, or that a zone only becomes free once the flooring is down. Crew is assigned per day without seeing which zone needs the most hands. The result: queuing lorries, a slipping build and a production manager on the radio all day.

Define zones and sequence
The site is divided into setup zones with their dependencies: groundwork and track matting first, then power, then stages and marquees, then dressing. Each zone shows which suppliers work there and what must be finished before they can start. The build sequence becomes visible instead of living in the production manager's head.
Assign delivery slots
Each supplier gets a delivery slot with gate, route across the site and the zone where they unload. The schedule shows per gate and per time window how many vehicles are due. If a supplier asks for another time, the planner sees immediately whether it clashes with another delivery or with work in the same zone.
Track crew and changes
Crew is assigned per day and per zone, with role and supervisor. If a zone overruns, the production manager sees which next steps slip and which suppliers need a new slot. Suppliers and crew receive the updated times, so nobody drives in on an outdated schedule.
Alongside your calendar and your team.
Production scheduling today often lives in a spreadsheet with a tab per day, an annotated site map and a group chat with suppliers. We can use the site map as the basis for zones and take over the existing supplier list. You own the schedule; suppliers see their own slots and zone, not anyone else's. Crew from an agency or crew company is added with their own contact person.
Tight slots or wide windows
Tight delivery slots make the most of a narrow gate, but a supplier stuck in traffic shifts the whole afternoon. Wider windows give slack but can lead to several lorries arriving together. On sites with a single gate, tight slots with a buffer between large deliveries are often necessary.
Central planning or per zone
One production manager planning everything keeps oversight but becomes a bottleneck. Zone managers planning their own zone work faster but may clash over shared gates and routes. Central planning of deliveries with zone planning inside those limits combines both, and zone managers see the deliveries heading their way.
Let suppliers pick slots
Letting suppliers choose from available slots saves a lot of back and forth, but the quickest gets the best time, not the supplier needed first. Assigning slots in advance based on the build sequence, with room to swap through the planner, keeps the order intact.

The schedule holds zones with their dependencies, delivery slots per gate and crew per day and zone. Before it goes live we walk through an ordinary build day together, and a day on which the stage builder overruns by half a day and three suppliers have to move. Sharing slots with suppliers, planning the break that often has to happen in far less time, and crew shift changes can be added later.

Explore pricing and optionsCan suppliers see their own slot?
Yes. Each supplier sees their own slots, gate, route and zone, plus the on-site contact. They do not see other suppliers unless you think it necessary, for instance when two parties work together in one zone.
How do we plan the break after the last show day?
The break becomes its own phase with zones in reverse order and usually less time. Suppliers get collection slots, and the schedule shows which zones must be cleared first so heavy equipment can get in. That stops a stage trailer getting stuck behind a catering van.
Does the schedule work with the site map?
The site map is the basis for zones, gates and routes. You can add a new version of the map and adjust the zones. The schedule shows which slots and crew are linked to a changed zone, so you know whom to inform.
What if rain makes the site impassable?
You see per zone which deliveries and work depend on it. You can move slots, change routes or close a zone temporarily. The schedule sends the changes to the suppliers and crew involved. The decision stays with the production manager.
