Events and rental: AI enquiry assistant for festival production teams
An AI enquiry assistant for festival production teams that helps suppliers with questions about arrival, unloading and working hours using released instructions, and brings in the production office when the answer is not settled.
Which questions festival production teams keep getting.
In build week, festival production teams receive a stream of questions from suppliers and drivers. Which gate should I use? Can I bring an articulated lorry onto the site? Where can I park after unloading? What time does the gate open? Many answers are in the supplier instructions, but a driver standing at a locked gate at six in the morning does not read a document. The production manager and production office are swamped just when they are busiest. At the same time, some questions cause problems if answered wrongly: a different slot, a different route, an exception to working hours.

Choose released sources
The assistant uses only released information: supplier instructions, the current site map with gates and routes, general working hours and rules for parking and unloading. Every text is approved by production. When an instruction changes, the assistant uses the new version as soon as it is released.
Interpret the question
The assistant decides whether a question is general, such as which gate is meant for freight, or about a specific slot or exception. General questions it answers with a reference to the instruction. A request for a different slot, another route or access outside working hours it recognises as one for production.
Answer or hand over
For a general question the assistant gives a short answer. For a specific one, it notes the supplier's name, the registration or delivery and the question, and passes it to the production office. It says honestly that someone from production will respond and promises no change.
On your own information, with a person behind it.
The sources come from the supplier portal, production emails and the site map. Production remains the owner: a changed gate or working hour is updated in the instruction, not in the assistant. Handed over questions reach the production office through the channel you use now, such as a shared inbox or message list. The assistant changes no slots, grants no access and has no view of accreditations.
Suppliers only or the public too
An assistant for suppliers is about deliveries, unloading and working hours. Visitor questions concern tickets, line-up and travel, and belong to the organiser. Two separate assistants, or one for suppliers only, prevent a driver from getting an answer about ticket sales or the other way round. A link to the organiser's site covers visitor questions.
Through the portal or by message
Suppliers already using the portal can use the assistant there. Drivers on the road often only have a phone and prefer to send a message. An assistant reachable through a link on the phone, without logging in, helps drivers most, provided it only gives general information.
Summarise or point to instructions
The assistant can summarise an instruction in a few sentences or point to the full document. A summary helps the driver at the gate but leaves out details. A short answer with a link to the full instruction combines speed with completeness, and keeps the instruction itself as the source.

From released instructions the assistant answers general questions about gates, routes, working hours, parking and unloading, and specific requests go to the production office. Together we ask it a series of ordinary questions from drivers during the build, and play a supplier who wants to enter outside their slot. After the first build we look at which hand-overs keep coming back and whether the instructions can be clearer there.

Explore pricing and optionsCan the assistant give out a new delivery slot?
No. It can explain how slots work and what a supplier should do if early or late, according to the released instruction. It requests a new slot from the production office with the supplier's details. The planner decides.
What does the assistant say about safety rules?
It only repeats the released safety instructions, such as required clothing or the speed limit on site. It gives no explanation of its own and does not decide on exceptions. Questions beyond that go to production.
How do we know it uses the right site map?
The assistant only uses the latest released version. Every answer refers to the source and its version. You can check whether a driver was helped with the right information, and you see at once if an old version is still listed as a source.
Can the assistant answer in several languages?
Yes, if you release the instructions in those languages or agree to a translation. At festivals with suppliers or drivers from abroad that is often useful. The hand-over to production includes the original question. Replies stay in the driver's language.
