As soon as a quote is accepted, the system reserves the calculated materials for that project. The stock list then shows what is on hand, reserved and free. If something is missing, purchasing sees it at once and can order with a delivery date that fits the schedule.
Process issue and returns
The crew gets a loading list per project and confirms what was taken. On completion, they report what was used and what is coming back to the yard. Differences between calculated and used materials become visible, which helps refine the estimating.

Delivering straight to site saves a trip, but needs someone to check the delivery and a safe place to put it. Going via the yard gives control but costs transport. You can choose per project, and the stock records follow that choice so nothing is counted twice.

Keeping leftover panels and posts pays off when they are used in a later quote. Left unrecorded, they just take up space. With codes and an overview of leftovers, the estimator can use them, for example on repairs or small residential jobs where an odd panel or post is all that is needed.

Yes. Each combination of type, height, width and colour is its own item. The yard manager can see whether there are enough anthracite panels of a certain height, separately from green panels of the same size. The loading list reserves exactly that combination.
How do we stop crews taking too little material?
The loading list per project is based on the quote's calculation, with a small allowance if you want one. The crew ticks off what has been loaded. If anything is missing, the yard manager sees it before departure rather than when the crew is already on site.
Can we see how much material we typically have left over?
By setting calculated, issued and returned materials side by side per project, you can see where too much or too little is taken as a rule. That helps adjust the allowance in estimating, for instance for posts on projects with many corners.
What do we do with damaged panels?
Damaged panels can be logged with a separate status and a photo. They then do not count as usable. Depending on the damage, they go back to the supplier, are used where it will not show, or are disposed of. The yard manager makes that call.
