Events and rental: Scheduling software for exhibition stand builders
Scheduling software for exhibition stand builders that lines up build-up days, freight access at the venue and available crews, so stands at several shows at once remain achievable.
What makes scheduling hard for exhibition stand builders.
Stand building peaks in the same weeks, and you may have stands at two shows in different cities with build-up days that partly overlap. Each venue has its own hours for lorries to enter, sometimes with a delivery slot that must be booked in advance. The planner knows from experience which crew can handle which stand, but that knowledge is written down nowhere. When a lorry gets into the hall late or a crew needs an extra day, everything at the other show shifts too. Breakdown is tricky as well: it often has to happen within a tight window after closing, while the same people are expected at the next build.

Build windows per show
For each show you record build-up and breakdown days, the hours for freight traffic and any delivery slots that need booking. Each stand at that show gets an estimate of crew size and build duration, based on the stand type. Anything still unknown stays flagged, so the planner knows exactly what they are waiting for.
Assign crews and freight
The planner assigns crews and lorries to stands and sees straight away where the same people or vehicles are needed in two places at once. Travel time between venues is included. A stand that must be ready on the first build day gets priority for freight, so the lorry is not queuing with materials for later stands.
Confirm and adjust
Once the schedule is set, crew leaders receive their show, hall, stand number and delivery slot. If a build overruns, the crew leader reports it and the planner sees which next stand or breakdown is now at risk. The decision stays with the planner: bring in extra hands, split a crew or ask the exhibitor for a later slot.
Alongside your calendar and your team.
Most stand builders now plan on a large wall board, a shared calendar or a spreadsheet per season, alongside a list of regular freelancers and agency staff. The scheduling software reads stands from approved quotes and takes in availability for employees and freelancers. Delivery slots and venue hours come from the organiser and remain leading; the planner copies them in. Who runs which crew and who records hours stays as it is today, it just lives in one place instead of several.
Fixed crews or assembled per show
Fixed crews know each other's habits and your own stand system, which speeds up builds. Assembling crews per show gives flexibility in busy weeks. Many builders choose a fixed crew leader with a core team, topped up with freelancers. The schedule then needs to show which core people are essential for which stand.
Own lorries or a haulier
Your own lorries give control over departure and delivery slots but are expensive in quiet months. A haulier is more flexible, but you depend on their schedule. If you use both, the schedule needs to show per stand who is driving, so delivery slots and on-site contacts at the venue are correct.
Build early or build late
Building early leaves room for setbacks but ties up a crew while there is work elsewhere. Building late spreads capacity better but leaves no margin for a delayed lorry or a missing power connection. The trade-off differs per stand: complex bespoke stands first, simple system stands later, with a buffer kept where the venue is strict.

The schedule holds shows with build windows and delivery slots, stands with crew size and duration, crews and freight to assign and alerts when a build overruns. Before going live we replay a quiet week with one show together, and a week where two shows in different cities overlap. A crew leader screen, time recording on the show floor and a place of its own for breakdown can be added later.

Explore pricing and optionsCan freelancers enter their own availability?
Yes, through a simple link where they mark the days they can work. The planner sees that next to employee availability. A freelancer only sees their own days and the stands they are booked on, not the full schedule or any exhibitor details.
How do we handle delivery slots we have to book with the venue?
Each show records whether slots are required and when they must be booked. The planner sees which stands do not yet have a confirmed slot. Booking itself happens in the organiser's system; you then record the confirmed time so the crew and driver can see it.
What if an exhibitor wants the stand built later?
You change the build moment for that stand and the planner immediately sees which crew and which freight are freed up or squeezed. If the new moment falls outside the venue's build windows, the planner gets a warning before confirming anything.
Can the schedule cover breakdown and storage too?
Yes. Breakdown is its own task per stand, with the window the venue sets. It records whether the stand goes back to storage, on to another show or is disposed of. That way the planner also sees where people and vehicles are needed after the doors close.
