It holds the final drawing, the list of wall panels, graphics, lighting and furniture, the location of the power connection and the exhibitor's contact. The crew leader sees which version applies and when it was released, so no stale printout goes round.
Log the build and any deviations
During the build the crew ticks off parts and reports anything missing or damaged, with a photo. A pillar that was not on the floor plan or a power point in a different spot is flagged straight to the project manager. They decide whether the stand changes and record that decision on the same job card.
Hand over with the exhibitor
At handover the crew leader walks the stand with the exhibitor and takes handover photos. Any last wishes are logged as extra work or as a snag, and the exhibitor signs on screen. The office immediately sees what was delivered, what is still open and which extras need invoicing.

Drawing on a tablet or on paper
A tablet always shows the current version and makes photos easy, but it is fragile in a hall full of tools. Paper is robust but goes out of date. Many crews use a phone for ticking off and photos, with a printed drawing that carries a code to check on screen whether it is still valid.
Crew leader or project manager decides
For small deviations the crew leader can decide, such as moving a wall a few centimetres. Bigger calls, such as leaving out an element or hanging a different screen, belong with the project manager because they affect the quote and the exhibitor. The job card can record which decisions sit where.
Agree extras on site or afterwards
Having extras signed off on site avoids arguments, but exhibitors are busy on build day and sometimes sign without reading. Agreeing them afterwards is calmer, but memories fade. A short description with a photo and a signature on the floor, followed by an email confirmation, combines the strengths of both.

Exhibition halls often have slow or overloaded networks. The job card is therefore loaded onto the device in advance, with drawing and parts list. Ticks and photos are stored locally and sent once a connection returns, so the crew never has to wait.
Can freelancers use the job cards too?
Yes, with their own access showing only the stands they are booked on. They can tick off parts and add photos. Recording extras and getting the exhibitor's signature can be limited to the crew leader, so it is clear who does that on your behalf.
How do we know the crew has the right design version?
The job card shows only the released version with its release date. If a new version is issued, the crew leader gets a notification and sees what changed. Older versions are kept but clearly marked as superseded.
Can we record damage to the stand after the show?
Yes. During breakdown the crew photographs damaged parts and notes what is wrong. That is stored against the stand and the part in stock, so you know what needs repair before it can be used again on another build.
