Construction and installation: Invoicing software for EV charger installers
Invoicing software for EV charger installers that turns connected chargers and approved extras from the job card into an invoice with a payment link, split between driver, employer or lease company.
Where invoices stall for EV charger installers.
EV charger installers often invoice several parties for the same charger. The driver pays part, the employer or lease company the rest, and the management provider bills the subscription separately. After installation the office has to work out what was actually fitted: was the cable longer, was an extra circuit added, did the customer relay the paving themselves. Extras are in a photo or a note from the electrician. Business jobs with dozens of points expect invoices per phase or per building. When job card and invoice live apart, extras are dropped or sent to the wrong party, and someone has to chase separately who has already paid.

From finished work to paid invoice.
Delivered work per client
The invoice starts from the accepted quote and the split between clients already in the software: which part the driver pays, which part the employer. From the signed job card come the connected chargers, the actual cable metres, the connection work and approved extras. Each line points to its source and to who pays it.
Review differences
If the job card differs from the quote, the differences are shown separately: more cable, an extra circuit, extras with or without approval. The person preparing the job reviews them and decides where they go. If the employer does not cover a part under the agreement, it goes to the driver, but only after a person has checked it.
Send with a payment link
Once approved, the invoice goes out per client with a payment link, with the job card and photos of extras attached. An employer can receive a collective invoice per period instead of one per driver. Reminders go out automatically and the job shows whether it has been paid.
Invoicing from the same software.
Today the office often builds invoices from lines copied by hand from quote and job card. In the software, quote, job card and invoice sit together, so that retyping disappears. Agreements with employers and lease companies, such as which part they cover, are recorded once and then applied. The office remains owner of receivables and payment terms, the person preparing jobs of what can be invoiced. The bookkeeper can look along or receive an export.
Per driver or collective employer invoice
An invoice per driver is clear for the driver but leaves an employer with many staff holding a stack of separate invoices. A collective invoice per period suits the employer better but needs an attachment showing per driver what was done. Agree with each employer which form they want.
Extras to the driver or the employer
Employers often cover a standard installation. Extras such as a longer cable route sometimes fall outside that agreement. Record the limit beforehand and who pays the difference. The software then splits the invoice automatically, and the office does not have to email the employer for every job.
Invoice on installation or after registration
Invoicing as soon as the charger is fitted is quick. But if it is not yet registered with the provider, the customer cannot charge and the invoice feels premature. Invoicing after registration avoids that discussion. Record per job type which moment counts as handover, so the office does not have to guess.

What we set up for your invoicing.
Ready at the start: the invoice from quote and job card, the split between driver and employer, differences shown separately for review, the payment link and automatic reminders. We record the reimbursement agreements per employer beforehand. Before the first invoice goes out, we walk through a home charger covered by an employer together, and an installation with a longer cable route where the driver pays part. Collective invoices per period are switched on as soon as an employer asks for them.

Explore pricing and optionsDoes invoicing work with different agreements per employer?
Yes. Per employer or lease company you record what they cover, up to which limit and whether they want an invoice per driver or per period. The software applies that agreement to every invoice. If an agreement changes, the new one applies from the date you set.
What happens with the management subscription?
That depends on who bills it. If you sell the subscription, it appears as a separate line on the customer's invoice. If the provider bills it directly, it is not on your invoice but is noted in the file, so the customer knows where to expect those costs.
How do we stop extras going to the wrong party?
The software splits according to the recorded agreement, but the person preparing the job checks the split before the invoice is sent. Doubtful cases stay on hold until someone reviews them. That way a driver never gets an invoice for work the employer should actually cover.
Can we invoice per phase on large projects?
Yes. For work in phases, for example per floor of a car park, you create an invoice per phase based on the points completed in that phase. The software tracks what has already been invoiced and paid, so the final invoice only contains the remainder.
