Every battery, cargo bike and trailer gets its own number or sticker that a phone can scan. Crates are counted by type, because tracking each one is usually too much work. Each hub shows what is present, what is out at customers and what is in the workshop. That creates a first baseline.
Issue and reserve for rounds
When a round is loaded, the rider or hub staff links a bike and battery to it by scanning them. Crates going out are booked off. For the next morning, the planner can already see whether there are enough charged batteries and working bikes for the number of rounds scheduled.
Check back in and update
After the round, batteries are checked in with an indication of charge level and bikes with any defect noted. Crates left at or collected from customers are settled through the job card. A bike with a reported defect drops off the available list automatically until the workshop releases it.

Often the hub manager keeps batteries and bikes in a spreadsheet, and crates are counted when there is doubt. Chargers sometimes have their own app or display, but it is not linked to planning. Crates individually or by type
Giving every crate its own code allows precise tracking but costs time at each stop. Counting by type is quick and enough for most operators to keep a balance per customer. Tracking individually only pays off for expensive cool boxes or a shipper's crates that are charged per unit.
Batteries per bike or pooled
A fixed battery per bike is tidy, but a flat battery then grounds the bike. A pool of swappable batteries is more flexible, though each battery must be registered separately. Operators with long rounds often choose a pool with a swap point. The software handles both.
Hub records or rider scanning
A hub manager who logs everything keeps control but becomes a bottleneck on busy mornings. Riders who scan on departure and return spread the work but sometimes forget. A combination usually works: riders scan, the hub manager sees discrepancies and corrects them at the end of the day.

Bikes, batteries and crates are registered per hub, go out with a round on departure and come back through the check in. We enter your equipment at the start. An ordinary day and a day on which a bike breaks down halfway and the batteries of two rounds are swapped are counted through together. A second hub, a crate balance per customer and a low stock alert can be added once the count is right.

No. For most situations, counting by type is enough. The rider enters at each stop how many crates were left and collected. A code per crate only makes sense for pricier or client-owned crates. We decide together based on how many go missing today.
Can we see which batteries are ready in the morning?
Yes, if batteries are checked in after the round and scanned at loading. The planner then sees how many charged batteries each hub has. If your chargers can report their own status, the software reads it; otherwise a scan when plugging a battery in and out does the job.
What if a bike is in the workshop?
A bike with a reported issue shows as unavailable and cannot be linked to a round. The workshop releases it once the defect is fixed. The planner therefore knows in advance how many bikes are available tomorrow, not when someone is standing in the hub.
Does this work across several hubs?
Yes. Equipment is registered per hub and can move between hubs through a transfer. You can also see where a shortage is building. Many operators begin with one hub to get the process right and then switch on the other locations.
