Transport and delivery: Digital job cards for courier services

Digital job cards for courier services: each trip order with delivery instructions, contact and proof of delivery on the driver's screen, and back at the office.

Digital job cards for courier services. A digital job card that tracks preparation, execution and handover. Example with demonstration data.

What a job card for courier services should hold.

At many courier services, the driver starts the day with a printed run sheet or a message listing addresses. The delivery instruction, such as round the back through the gate or hand it to reception and never to a neighbour, lives somewhere else or only in the planner's memory. On the road the driver has to phone in, and what happens at the door ends up on paper or nowhere at all. A signature on a scrap of paper, a photo in a personal camera roll: when a recipient later claims nothing arrived, the evidence is hard to find or simply missing.

  1. 1

    Prepare stops with their instructions

    Done

Each stop on the trip order carries the address, window, contact, number of items and the delivery instruction for that address.

  2. 2

Record the handover at the door

    In progress

At every stop the driver scans the items, takes a signature or photographs where the parcel was left.

  3. 3

    Close and review the trip

At the end of the trip the office sees for each stop whether it was delivered, failed or partly delivered.

From preparation to signed-off card.

Prepare stops with their instructions

Each stop on the trip order carries the address, window, contact, number of items and the delivery instruction for that address. Standing instructions, such as a dedicated entrance at a hospital, are stored against the address and come along automatically. At departure the driver sees what is expected at each stop.

Record the handover at the door

At every stop the driver scans the items, takes a signature or photographs where the parcel was left. If delivery fails, the driver picks a reason from a short list: nobody in, address unreachable, refused. Time and location are added automatically, so nobody has to piece together afterwards what happened.

Close and review the trip

At the end of the trip the office sees for each stop whether it was delivered, failed or partly delivered. Stops without proof stand out, as does any waiting time the driver reported. Only once the trip has been fully reviewed does it move on to invoicing, and failed stops go back to planning.

No more paper and loose photos.

Many courier services already use handheld scanners, company phones or a client's driver app. The job card can run on the same devices, or pull data from a scanner that already captures proof of delivery. Some large clients insist on their own app; in that case we take the status from there rather than recording everything twice. Proof of delivery belongs to the courier but is shared with the shipper. The agreements on that decide who may see which photo.

Signature or photo as proof

A signature is familiar, but often illegible and awkward at a letterbox or an agreed safe place. A photo of the parcel at the door is stronger when nobody is in, but raises privacy questions at private homes. Most courier services allow both and decide per shipper or per service which form is required.

Personal phones or company devices

Drivers using their own phones save on hardware, but recipients' photos then sit among private files and management gets difficult. Company devices give control over apps and data. For self-employed drivers a personal phone is the obvious choice; just make sure the proof stays inside the app and never lands in the camera roll.

Fixed sequence or driver's choice

A fixed sequence keeps windows predictable and lets the customer see when the van will arrive. An experienced driver, though, often knows a better route around closed streets and busy junctions. A middle way is a suggested sequence the driver may change, with an alert when that puts a window at risk.

What goes on the job card.

The driver's device shows the trip order with stops and delivery instructions; at each stop the driver records a scan, signature or photo, and the office reviews the trip afterwards. How does that go on a normal city run, and how on a run where a business turns out to be closed and a recipient refuses the delivery? We walk through both with one of your drivers before going live. Fixed instructions per address and passing proof of delivery to the shipper are added when you want them.

Does the job card work without mobile signal?

Yes, which is essential for courier work in car parks and basements. The driver records deliveries on the device and the data is sent as soon as there is a connection again. The office simply sees the stop completed a little later.

Can drivers add an instruction to an address themselves?

Yes. If a driver finds that the entrance is at the back or that parcels must go to the porter, they add it. The office approves the instruction before it applies to everyone, so outdated or personal remarks do not linger.

What do clients see of the proof of delivery?

You decide that per client. Typically it is the time, the recipient's name and the signature or photo. Location data and driver notes stay internal unless there is an agreement to share them as well.

How do self-employed drivers fit into the job card?

They get the same trip order and record deliveries the same way, with access to their own trips only. Their completed stops and waiting time can serve as the basis for the invoice they send you, so it no longer needs checking separately.
