Food and specialist retail: Invoicing software for chocolatiers
Invoicing software for chocolatiers that builds the invoice from the boxes, custom work and printing delivered on a finished job, so a corporate customer pays for what was actually packed and shipped.
Where invoices stall for chocolatiers.
After the December rush, chocolatiers have to invoice all their corporate jobs. That is when it turns out the quote was for a hundred boxes but more were delivered after a late change, that some went to individual addresses and that the customer asked for nut free boxes at the last minute. The tasting selection was supposed to be deducted, but nobody remembers whether that was agreed. Invoices are pieced together by hand in January from emails and packing lists, while the customer wants to pay quickly before their financial year closes. Every mistake means a credit note and a second invoice, followed by phoning around to see who has already paid.

From finished work to paid invoice.
Collect delivered boxes
After completion the software puts the boxes actually packed and shipped per layout on the invoice for each job, with printing, shipping costs per address and extras such as a card or ribbon. Each line refers to the packing check on the job card and to the shipment, so it is clear where the number comes from.
Review differences with the quote
The invoice lines sit next to the approved quote version. More boxes, a different layout or a tasting selection that should be deducted appear as a difference. The owner or office decides per difference: invoice it, adjust it or drop it, and writes down the reason.
Send invoice with payment link
After review the invoice goes to the customer with lines per layout, printing and shipping, a reference to the job and a payment link. If payment does not arrive, reminders follow automatically, and the payment status sits with the job. If the customer asks something, you see straight away which packing list a line is based on.
Invoicing from the same software.
Individual sales in the shop and the webshop run through the till and stay there; invoicing only covers corporate jobs. The quote is the source for prices and agreements, the job card for what was packed, the shipment for addresses, and all three already sit in the same software. The office owns the invoice, the chocolatier owns what was delivered. The bookkeeper can look along or receive an export of invoices and VAT.
Invoice upfront or after delivery
Invoicing upfront gives certainty with new customers and covers the cost of packaging and printing. Invoicing after delivery is more usual with regular corporate customers but leaves the chocolatier carrying the costs. A deposit on approval and the balance after delivery is a common middle way. Record that arrangement in the quote.
Shipping per address or as a total
Charging per address shows what individual delivery costs and nudges the customer towards a central address. A single total is simpler on the invoice but hides the cost. With many separate addresses, charging per address is usually fairer and avoids disputes afterwards. State the choice in the quote so it comes as no surprise.
Deduct the tasting selection or bill separately
A tasting selection deducted when the customer orders narrows the gap between a free service and a paid one. Billing it separately is clearer for the books. The software can do either, as long as the quote records which option was chosen, so the office never has to ask.
What we set up for your invoicing.
Your payment term, the payment link and the reminders are ready at the start, and for each finished job the delivered boxes, printing and shipping appear as invoice lines next to the approved quote version. We check two jobs together: one that went exactly as quoted, and one where the customer made late changes and wanted part of it nut free. A deposit on approval and deducting tasting selections can be switched on once you record those agreements in your quotes.

Explore pricing and optionsCan the software also deduct the deposit?
Yes. If a deposit was invoiced on approval, the final invoice deducts it automatically. The office sees both invoices and their payment status with the job and does not have to work out what has already been paid.
What if the customer received fewer boxes than ordered?
Then the software shows the difference between quote and shipment. The office sees how many boxes were shipped and can invoice only those, or first ask why the number differs. The reason is stored with the line.
Can our bookkeeper look at the invoices too?
Yes. The bookkeeper gets access to look along or receives an export of invoices, payments and VAT. The invoices themselves leave from the software, with your numbering, your house style and a payment link, so the customer can pay right away.
Do shop sales also run through this invoicing?
No. Sales in the shop and through the webshop go through the till and are already settled there. Invoicing is meant for corporate jobs with a quote, where the difference between agreement and delivery needs a look first.
