Food and specialist retail: Quotation software for chocolatiers
Quotation software for chocolatiers that works out recipe costs, packing work and printing per box, so a corporate quote matches what actually happens in the workshop.
Where quotes for chocolatiers get stuck.
Chocolatiers often price corporate jobs from memory: a price per box plus something extra for the logo. Costs disappear from view that way. A box with a free layout takes longer to pack than a fixed collection. A filling with an expensive nut or liqueur eats into the margin, and printed sleeves carry a fixed set-up charge at the printer regardless of quantity. With large numbers, handwork adds up too: a ribbon, a card and a seal on every box. If the customer changes the layout halfway, nobody can tell which price belonged to which version. A busy December brings in turnover but little margin.

From enquiry to signed quote.
Set layout and fillings
The quote starts with the box: which layout, how many chocolates, which fillings and which packaging. Recipe costs per filling come from the maintained list. If the customer picks a filling with a pricier ingredient, the chocolatier sees immediately what that means per box, before any price is mentioned.
Work out packing and printing
Alongside the chocolates, the quote calculates packing work per box: filling, ribbon, card, seal. Printing gets a fixed set-up item and a price per unit. That makes it visible that a small run with a logo is much more expensive per box than a large one, so the chocolatier can advise honestly.
Version, assumptions and approval
The proposal states the layout, fillings, delivery date and assumptions, such as the logo arriving on time and the tasting selection being approved. If the customer changes something, a new version with its own price is created. Approval belongs to one version, so production knows which layout applies.
Alongside your calculations and price lists.
Many chocolatiers keep recipe costs in a spreadsheet maintained by the owner; prices for packaging and printing come from suppliers. The quote reads those lists and does not ask for them to be entered again. Whoever handles purchasing updates the prices and the quote calculates with them automatically. After approval, the agreed lines go to the accounting package or web shop for invoicing.
Price per box or per chocolate
A price per box is clear for the customer and easy to compare. A price per chocolate with packaging separate shows where the costs lie but feels complicated. Calculating per chocolate internally and showing a price per box externally gives the chocolatier control without burdening the customer with detail.
Fixed layout or free selection
A fixed layout packs faster and is easier to schedule. A free selection gives the customer more choice but costs packing time and makes production per filling unpredictable. A visible surcharge for free selection in the quote lets the customer choose between convenience and a tailored box.
Free tasting selection or charged
A tasting selection helps the customer decide, but costs time and product. Free tastings work for large jobs, but on small enquiries the cost mounts up. Many chocolatiers charge for the selection and deduct it from the order if the customer goes ahead. The quote can include that deduction automatically.
What we prepare in the quotes.
At the start we put your fillings with recipe costs, the packing items per box and the set-up price for printing into the quote, with versions and online approval by the customer. Before it goes live we walk through an ordinary order of fixed logo boxes together, and a customer who switches to a pricier filling and a smaller run halfway through. Deducting tasting selections and invoicing from the same quote can be switched on when you are ready.

Explore pricing and optionsHow do we keep recipe costs current when cocoa prices move?
By keeping them in one place. Whoever does the purchasing updates the cost of raw materials, and the recipe costs per filling follow. Open quotes keep their price; new quotes use the updated costs. Nobody has to dig out old spreadsheets.
Can the customer compare different versions?
Yes. Every change creates a new version with its own layout and price. The customer sees the versions side by side and approves one of them. Production only works from the approved version. Earlier versions stay visible for reference.
Does the quote include shipping?
If you ship, it can be a separate line per address or a single delivery. With many individual addresses the quote charges per address, because each box needs packing for transport separately. The choice is stated in the proposal so the customer knows what they are getting.
What if the logo arrives late?
Then the assumption in the proposal no longer holds. The chocolatier sees that the delivery date with printing is at risk and can propose delivering without printing or agreeing a later date. The customer knew this in advance, because it was in the assumptions.
