Manufacturing and processing: AI enquiry assistant for candle manufacturers
An AI enquiry assistant for candle manufacturers that answers questions about burning, wick care and scent using your own approved instructions and passes anything uncertain to a person.
Which questions candle manufacturers keep getting.
Customer service at candle manufacturers fields the same questions again and again: why is my candle tunnelling, how short should the wick be, how long can it burn in one go, why can I smell it less than in the shop. In between come reports that need proper attention, such as a jar getting very hot, soot on the wall or a flame flaring up. Answering everything by hand eats time on standard advice. Automating that advice without limits risks a safety report getting a cheerful stock reply.

Burning instructions as the only source
The assistant works only from text you have approved: burning advice per candle shape, guidance on trimming wicks, the first burn and scent throw, plus information on shipping and returns. Anything not in those sources it does not make up. A new candle shape only gets answers once its instructions have been added.
Tell questions from complaints
For every message the assistant decides whether it is about use or a possible complaint. Words like soot, overheating, cracked glass or a high flame are treated as a report. When unsure, it asks for the product and a photo, without offering any view on cause or compensation.
Answer or hand over
Usage questions get an answer with a pointer to the instruction it came from. Reports, and questions with no approved answer, go to a member of staff together with the conversation, the product and any photos. The customer is told someone will be in touch, with no promise about the outcome.
On your own information, with a person behind it.
Questions reach candle makers through the webshop, email and social media, and the answers are scattered across an FAQ page, product descriptions and the heads of staff. The assistant draws on those sources once you have checked and consolidated them. Handovers land in the inbox or customer service system you already use. You stay the owner of every text; when burning advice changes, the assistant answers with the new version from then on.
Usage questions only or order status too
An assistant that only covers burning and care questions is easy to keep within bounds. Adding order status means the assistant can look up the order and checks that the person asking really is the customer. Many candle makers start with usage questions and point order queries to the existing shipment tracking page.
Website only or messaging apps as well
On the website the context is clear: the visitor is looking at a product. Messages through a chat app often arrive without a product name, so the assistant has to ask first. Starting on product pages keeps answers precise; other channels can follow once the sources are in good shape.
Handle trade buyers separately
Shops and private label clients ask different things, about minimum orders, labels and lead times. The same assistant can answer those from a separate set of sources, or route them straight to the office. Because trade questions tend to be bespoke, passing them directly to a person is usually the safer choice.

From a compiled set of burning instructions per candle shape, the assistant answers usage questions about burning, wick and scent on the website. Before going live, we ask it everyday questions together about tunnelling and wick length, and give it a report that must be handed over: a customer whose glass cracked while burning. More channels, multiple languages and an overview of questions without an answer yet you switch on later.

Explore pricing and optionsCan the assistant offer compensation for a complaint?
No. It recognises a complaint, asks for the product and a photo, and hands the conversation to a member of staff. Compensation, replacement or a return is always decided by one of your people. The customer is only told the report has been received and that someone will follow up.
What does it say about a fragrance we no longer make?
If you supply a list of discontinued fragrances, the assistant can say a scent is no longer available and suggest alternatives you have chosen. Without that list it says it does not know and passes the question on, rather than guessing at an answer.
How do we find out which questions it cannot answer?
Every handover and every question without a suitable answer is logged in an overview. That might reveal, for example, that lots of people ask how to reuse empty jars. You can then write an approved text, and from that point the assistant answers the question itself.
Does it give advice on burning candles safely?
Only the advice you have written yourselves, such as never leaving a candle unattended and placing it on a heat-resistant surface. It does not add advice of its own. If a question suggests an unsafe situation, it passes the conversation to a member of staff.
