Food and specialist retail: Scheduling software for butchers
Scheduling software for butchers that spreads cutting room work over the days before collection, so the counter and the cutting room do not get in each other's way.
What makes scheduling hard for butchers.
At butchers, most of the work happens behind the counter: boning, making sausages, tying joints, mincing, dressing platters. That work has to be finished before the customer collects, and it competes with serving. In an ordinary week it is manageable. But in the week before Christmas, or on a sunny Friday in May when everyone wants to barbecue at once, the cutting room overflows. Gourmet platters cannot all be dressed on the last day, and a stuffed joint needs to be ready a day early. If orders are only sorted by collection day, you do not see that Tuesday already holds more work than there are people.

From job to confirmed appointment.
Estimate cutting room hours per order
Each order gets an estimate of cutting room time based on its products and preparations. Cutting a few steaks is quick; dressing twenty gourmet platters is not. The butcher maintains those times. For each day you can see how many cutting room hours are already committed.
Bring work forward where possible
Each product states how far ahead it can be made without losing quality. Sausages can be made a few days early, gourmet platters often a day before, freshly cut meat preferably on the day. The schedule spreads the work within those limits over the preceding days and shows where it gets tight.
Cap collection slots
Collection times are capped per slot, so there is no queue to collect while the counter is also full. When a slot is full, the customer picks another. Around Christmas there can be more slots, with a separate collection point if the shop has one.
Alongside your calendar and your team.
Rotas are often on paper or in a spreadsheet, orders in an order book or the order form, and cutting room capacity in the butcher's head. The schedule brings those three together. The rota stays with whoever manages it now; the schedule just reads who is working when. Preparation times per product belong to the butcher. There is no complicated planning board, just a daily view that can also run on a screen in the cutting room.
Scheduling by people or by stations
Sometimes the limit is not people but equipment: one mincer, one vacuum packer or limited space in the chiller. Schedule on people alone and it looks as if there is room while the machine is already booked. For most butchers people are enough, with the vacuum packer as an extra point to watch around the holidays.
Customer picks the time or butcher assigns
Customers like to choose, but then all pick the afternoon before Christmas Eve. Fixed blocks with a maximum per block help spread the rush. Another option is letting the customer pick the day while the butcher assigns the slot. That does mean an extra message to the customer.
Make for stock or to order
Sausages, mince and marinades can partly be made for stock based on expected sales. Packs and platters are better made to order. The schedule can show both: work for orders and work for the counter, so the butcher sees whether there is still time to fill the display.
What we set up in the schedule.
Per day the planning shows workshop time for orders next to the staff rota, with an indication of what can be done ahead, and collection slots have a maximum. An ordinary week and the week before Christmas, including a day when someone drops out, are gone through with you before it goes live. Workstations such as the vacuum machine and the work for the display counter can be added once the basics run well.

Explore pricing and optionsDoes every preparation need a standard time?
Only preparations that come up regularly and genuinely take time, such as boning, tying joints, dressing platters and making sausages. Quick work at the counter stays outside the schedule. Start with an estimate; after a busy week you will see where the times are off.
Can the schedule allow for Christmas and barbecue weather?
For Christmas you can set different slots and extra staff in advance. Barbecue weather is less predictable. The schedule does show how many orders are already in for a day, so when the forecast is sunny you can decide to make extra sausages or marinade for stock.
Can staff in the cutting room see the schedule?
Yes. A screen in the cutting room shows what needs making each day, sorted by collection date and preparation time. Whoever finishes something ticks it off. Counter staff then know what is ready and nobody has to hunt for it.
What happens when an order comes in late?
If there is no cutting room time left for the chosen collection day, staff see it while entering the order. Online, the form no longer offers a full day. For a phone order, staff can suggest another day or deliberately schedule extra work.
