Food and specialist retail: Enquiry form for butchers
An order form for butchers that asks for cut, portions and collection date on every order, so whoever is in the cutting room knows exactly what to prepare.
What makes an enquiry complete for butchers.
An order at butchers is more than a product and a quantity. A customer who orders three kilos of braising steak may want it in two hundred gram portions, or in one piece to cut at home. A Christmas dinner order mentions a rolled joint but not whether it should be stuffed or how many it should feed. On the phone those details often go unasked, and only the main item makes it onto the slip. On preparation day the butcher has to guess or call back. Around the holidays, with hundreds of orders arriving at once, that is impossible. The form has to ask the choices that decide how the meat is cut.

From form to assessed enquiry.
Choose product and cut together
For each product the form shows only the cuts and preparations that fit: sliced, diced, bone in or out, seasoned or plain. A customer who is unsure sees a short explanation of each option. Orders arrive with a cut the butcher can actually do, not a vague description.
Record portions and guests
The customer says how many people it is for, or how many portions of what weight. The form turns that into an indicative total weight and warns when a combination looks odd, such as a whole joint for two. For packs, the choices within the pack are asked per person.
Collection date within what is possible
The collection date can be picked from days the butcher opens up. Products that need time, such as a stuffed joint or aged beef, can only be chosen if there are enough days between order and collection. The order arrives with every choice laid out together, ready to confirm.
Enquiries in one place, not the inbox.
Orders now come in by phone, at the counter or through a messaging app and are kept in an order book or on lists. Around the holidays many butchers use a paper order form in the shop. The new form can ask the same questions, so counter staff use it for phone orders as well. Prices stay in the till; the form uses the products and cuts the butcher has released.
Free text or fixed options
A free text box gives customers room, but produces descriptions like a nice bit of meat for Sunday. Fixed options per product force clarity but do not suit every request. A mix works best: fixed options for cut and portion, with a notes field for anything outside them.
Asking for weight or for guests
Regulars often know exactly how many grams they want, occasional customers think in guests. Ask for guests and the butcher sets the weight from experience. Ask for weight and you get what the customer says, even when it is too little. Many butchers ask for guests and show the expected weight as a check.
Holiday orders separate or combined
Around Christmas, orders arrive for products not sold the rest of the year, such as gourmet platters and game dishes. A separate holiday form keeps the everyday form short and allows its own order deadlines and collection days. Afterwards the holiday form goes offline again.

For the most ordered products the order form with cuts and portions is ready, as is an entry screen for phone orders and an overview per collection day. With you we replay an ordinary week, and an order where the customer picks a cut that does not suit the product, to see whether the form catches that neatly. A separate holiday form and paying in advance can be switched on when you want them.

Explore pricing and optionsCan customers say how thick they want their slices?
Yes. For products where it matters, such as steak or escalopes, the form can ask for a thickness or weight per slice. That appears word for word on the job card. For products where the butcher decides the thickness, we leave the question out to keep the form short.
How do we handle phone orders?
Counter staff enter phone orders in the same screen, with the same questions about cut, portions and collection date. The form works as a checklist. All orders for a day then sit in one list, whether they came in online, by phone or over the counter.
Can we set an order deadline per product?
Yes. Products that need time, such as stuffed joints, aged beef or a suckling pig, get a minimum lead time between ordering and collection. The form only offers collection dates that respect it. For the holidays you can also set a fixed closing date for orders.
Does the customer get a summary of the order?
Yes. After sending, the customer gets a message listing every choice: product, cut, portions and collection date. They can check that everything is right. If the butcher has to change something, for example because a cut cannot be done that way, a second message explains the change.
