Food and specialist retail: Quotation software for butchers
Quotation software for butchers that builds prices for buffets, barbecues and large orders from price per kilo, processing work and cutting loss, so the margin stays visible.
Where quotes for butchers get stuck.
Butchers get requests that go beyond the counter: a barbecue for a company staff party, a cold buffet for an anniversary, a quarter of beef as a freezer pack. The price is often worked out in the head using the shop's price per kilo. But a buffet contains processing work: marinating, threading skewers, rolling meatballs, dressing platters. And a freezer pack from a quarter of beef loses weight to bone and fat when it is broken down. Leave that out and large orders are sold below cost. Barbecue hire, delivery and any staff on location also need to sit in the same quote.

Record building blocks at cost
For each product or component the butcher records its cost: purchase price per kilo, cutting loss for pieces that come from a larger primal and the time the processing takes. Fixed items such as barbecue hire, delivery and staff per hour become building blocks too. Figures are adjusted when practice shows they are off.
Build the quote per guest
For a barbecue or buffet the butcher enters the number of guests and the desired mix, for example three pieces of meat per person plus salads. The quote works out how much meat is needed, what the labour costs and what the total price per guest becomes. Each component can be adjusted.
Turn acceptance into an order
The customer receives a proposal with a price per person, the mix, the date and what is and is not included. Once accepted, it becomes one job with a card for the cutting room and a list of what has to go to the venue. If the guest count changes, the quote recalculates.
Alongside your calculations and price lists.
Purchase prices sit on invoices from the wholesaler or abattoir, shop prices in the till and quotes often in a word processor or on letterhead. We decide which prices form the basis and who keeps them current. Cutting loss per primal is the butcher's own knowledge and is stored in the software rather than taken from a generic table. Accepted quotes can go to the accounting package as a draft for invoicing.
Price per person or per component
A price per person is simple for customers and easy to compare. A price per component gives more insight but invites haggling over every line. Many butchers show a price per person with the components listed underneath without amounts, so the customer sees what they get.
Set menus or bespoke per request
Set barbecue menus at a fixed price per person are quick to quote and easy to plan. Bespoke work, such as a game buffet or a hog roast, needs a calculation per request. The software handles both: set menus as a starting point, with changes that feed straight into the price.
Freezer pack by carcass or by meat
A quarter of beef can be sold per kilo of carcass weight or per kilo of meat the customer actually takes home. The first is simple, but customers are taken aback by the difference. The second is fairer, but then the cutting loss has to be built into the price. Whichever you choose must be clear in the quote.
What we prepare in the quotes.
The building blocks for the most requested barbecue and buffet items go into the quote at the start, with a calculation per guest and online approval by the customer. A standard company barbecue and a request where the number of guests changes after approval are worked through together. Freezer packs with cutting loss, an overview of open quotes and passing an accepted quote on to the invoice can be switched on when you are ready.

Explore pricing and optionsCan we use our own barbecue menus as templates?
Yes. A set menu becomes a template with a mix per person. For a new request you pick the template, enter the number of guests and change whatever differs. The price is recalculated from current costs.
How do we include processing work in the price?
For each component you record how long it takes, such as threading a batch of skewers or dressing a platter. The quote adds up that time and applies your hourly rate. It becomes clear which components are labour heavy and which are mostly purchase cost.
What if the guest count changes after acceptance?
The quote is recalculated with the new number. The customer receives a new version with the difference visible. The proposal states until when that is possible, because after a certain point the meat has already been ordered or prepared.
Can the quote include staff and equipment?
Yes. Barbecue hire, delivery, staff on location and plates or cutlery can be added as separate items. They are shown separately or built into the price per person, depending on what you are used to. The quote also states what the customer has to arrange themselves.
