Food and specialist retail: Customer portal for butchers

A customer portal for butchers where customers see their order selections and collection status, and regular trade buyers manage and repeat their orders.

Customer portal for butchers. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of butchers want to see.

Customers of butchers want to know where their order stands, especially around the holidays. Is my Christmas order confirmed, can I still add a joint, is the gourmet platter ready? Those questions now come by phone, on precisely the busiest days of the year. Restaurants and small caterers order almost the same thing every week, but have to pass on what they need from scratch each time. A change sent by quick message gets missed in the rush. An overview where customers see their own choices and order status removes many of those calls.

Access by customer type

Private customers reach their own order through a personal link. Trade customers get an account in which several people can order. The butcher decides who may do what: order, change or only view. No orders come in from someone who is not responsible for them.

View selections and status

For each order the customer sees what they chose: product, cut, portions, packing and collection date. The status moves from received to confirmed, in the cutting room and ready to collect. A regular trade order can be repeated for a new date in one step and then adjusted.

Changes until the closing date

Until a point the butcher decides, customers can change or add to their order themselves. After that, a change becomes a request the butcher reviews. Around the holidays that cut off can come earlier, because meat is then bought and prepared days ahead.

Less email, the same records.

The portal shows the orders from the same software in which the butcher records them, and only what belongs to each customer. Invoices and their payment status are there too, because they are created in the same software. If a trade customer orders through a purchasing platform, at the start we set out how those orders appear in the portal. Customers manage their choices; the butcher manages what is confirmed and supplied.

Holidays only or all year

The need for a portal peaks around Christmas, when most orders run at once. During the rest of the year it is mainly useful for regulars. A butcher can start with a holiday portal and then open it to trade customers, so the effort is not just for a few weeks.

Link per order or a fixed account

A link per order is easy for private customers who order a few times a year. A fixed account suits restaurants that order weekly and want to repeat earlier orders. The portal can do both depending on the customer, and someone who starts ordering more often can be given an account later.

Sending status messages or just showing

A message saying the order is ready is handy, but around Christmas hundreds would go out at once. Showing status only in the portal is calmer, but customers have to check themselves. A middle route is a message on confirmation and on changes, with the rest of the status visible only in the portal.

What customers find in the portal.

Private customers get a link to their order with choices and status, trade customers an account in the client portal to view and repeat orders, and changes are possible until a cut off date. With the orders of an ordinary week and a Christmas order that someone wants to change after the cut off, we check together whether the rules are right. Status messages and an invoice overview can be switched on later.

Can customers still add items around Christmas?

Until the closing date you set, they can add products or change quantities. After that, a customer can still send a request, which you review. That keeps purchasing and cutting room work manageable in the final days before the holidays.

Do customers see the actual weight of their order?

Yes, once the order has been weighed in the cutting room. The portal then shows per line what was ordered and what is ready, including substitutes. Customers have a fair idea of what they will pay before they come to collect.

Can trade customers set up a standing weekly order?

Yes. A trade customer can repeat an earlier order for a new date and adjust what differs. A fully automatic repeat is possible too, but then the customer has to change it actively when they need less. Most butchers choose a repeat the customer confirms each time.

Do private customers need an account?

No. Private customers get a personal link in their confirmation message. With it they see their order and can change it until the closing date. An account is only needed for customers who order often and want to see their history.
