Design and creative production: AI enquiry assistant for animation studios
An AI question assistant for animation studios that answers questions about animation files, formats and delivery from approved information and passes unclear cases to the producer.
Which questions animation studios keep getting.
Animation studios get a lot of practical questions after delivery: which file should I use for social media, why is the film so large, can I edit the subtitles myself, may I use this music in an ad as well. The answers sit partly in the delivery email, partly in the licence agreements and partly in the producer's head. Clients tend to ask just before a campaign goes live. An assistant that says music can be used anywhere, when the licence only covers the client's own website, can do real damage.

Define the sources
The assistant only uses approved information: an explanation of each file format you deliver, general guidance on channels, the delivery instructions per production and a fixed text on how licences work. It only uses the specific licence terms of a production once the producer has released them for that purpose.
Work out what's being asked
The assistant decides whether a question is about a file format, a channel, an edit or a licence. On formats and channels it answers from the explanations. On edits it explains which files are needed and whether they were delivered. On licences it points to the agreement and only quotes what has been released.
Hand over to the producer
A question about use outside the licence, a new edit, a fault in a file or anything not covered by the sources goes to the producer. The client leaves their details and the question arrives with the conversation and the production attached. The assistant gives no permission and makes no promises.
On your own information, with a person behind it.
Delivery instructions currently sit in emails or a document per production. Licence terms are in the asset register or the quote. We choose one source for each kind of information and let the assistant read from it. Questions that get passed on land in the producer's inbox or project system. The producer stays responsible for what the assistant may say about a production, and the studio for the general explanations.
Public or for clients only
A public assistant can answer general questions, such as which format suits a website. An assistant inside the client portal can also handle production-specific questions, because it knows which film is involved. Most studios start with the portal version, since that's where most of the questions come up.
Answer licence questions or always refer
The assistant can state the released licence terms, but a question like can I also use this in a TV spot calls for interpretation. Many studios let it quote the terms and pass on every question about a new use. That avoids an answer that later turns out to be wrong.
Technical help or refer to the editor
A client who wants to shorten a file sometimes gets more from a brief explanation than from being referred on. But explaining how to edit in third-party software isn't your responsibility. The assistant can explain which file is suitable and refer to the producer for an adjusted version.

The assistant gets approved answers about file formats, channels and delivery instructions for clients in the portal, and hands licence and change requests over to a colleague. Before launch we put questions from recent deliveries to it, along with tricky cases such as a client who wants to cut the film down for an ad with different music. A version on the website for general questions and an overview of questions asked per production are switched on whenever you want.

Explore pricing and optionsCan the assistant make an edited version of the film?
No. It can explain which files were delivered and whether an edit is possible with them. Making a new version is work for the studio and is requested through the producer, with its own agreement on timing and cost, just like any other change.
What does the assistant say if a client can't find a file?
It points to where the delivery is stored, if that's recorded in the delivery instructions. If the client can't find it there or the link has expired, it passes the question to the producer, who can send a new link the same day.
How do we stop the assistant promising anything about licences?
By letting it quote only released texts and pass on every question about a new use. The assistant says explicitly that it can't grant permission. Conversations can be read back, so you can check what it said if a question comes up later.
Does the assistant work for agencies reselling our work?
Yes, if the agency has access to the portal. The assistant then answers the agency's questions. If the agency doesn't want its end client to see your name, the assistant can be set up without the studio name, or the agency answers its client's questions itself.
